Job Purpose
Under the direction of the Principal and/or Regional Director of Operations, the School Operations Manager will play a critical part of the leadership team at the school. S/he will be responsible for all matters of school operations and administration that do not directly relate to instruction and student behavior. The School Operations Manager is the primary driver of policy implementation, financial analysis, and systems development within the school.
Essential Responsibilities and Competencies
Operations
- Work with Open Sky and the Regional Team to oversee the purchase and maintenance of technology equipment and infrastructure, implementation of technology training, and management of technology consulting relationships
- Manage Chromebook inventory for students, distributing and collecting for the school year.
- Monitor, submit, and organize all invoices and packing slips for incoming and outgoing deliveries
- Lead the planning and coordination of logistics for student transportation if applicable
- Help to plan, prepare, and coordinate school events and activities as needed
- Supervise office management, security personnel, custodians, contractors, and other non-instructional staff
- Ensure the school facility and grounds are well-maintained and manage the timely resolution of all related issues
- Ensure the smooth operation of the main office including mailings, attendance reporting, office machine maintenance, etc.
- Ensure school-wide compliance with health and safety laws, Department of Instruction or Education mandates, and all federal and state workplace regulations in partnership with leadership
- Complete all compliance information for food and transportation if applicable, including collection of free and reduced lunch information to determine family eligibility
- Lead the breakfast/lunch programs: submitting claims for reimbursements, inputting meal applications, conduct verification, and accounting for students’ meals during lunch periods using point of sale.
- Coordinate school security, safety drills, and bell schedules according to school needs. Present a training on emergency produces to all staff prior to the start of school year.
- Ensure classrooms have proper safety routes in place with emergency folders that include emergency procedures
- Work with school staff to ensure hallway and general facility decorations meet all relevant codes and are updated and maintained regularly
Finance & Human Resources
- Partner with the Principal to manage the school budget process including the annual budget development and ongoing budget management
- Process purchase orders and quotes with current/future vendors.
- Process invoices to the finance team and approve them through Blackbaud with correct coding
- Ensure proper internal control of organization’s assets and assist Open Sky Finance Team with internal/external audits.
- Generate operating and financial reports in relation to school performance for review with the school leader and the Open Sky Finance team.
- Manage cash counts and deposits with office manager through our bank. Reporting to the finance team the specifics of cash through Finance Workbook
- Collect credit card batches and receipts, organizing them and reporting to finance team through Finance Workbook.
- Work with Open Sky HR and appropriate school-based staff to maintain, update, and communicate the Employee Handbook
- Ensure applicable hourly employee timecards are accurate and submitted to Payroll in a timely manner
- Maintain personnel records and tracking of staff sick and personal days
- Work with HR on any onboarding employees and collecting documentations to file for yearly audits
Student Information and Records Keeping
- Oversee new student enrollment by working alongside with School Admissions Manager and Office Manager on processing applications and tracking all enrollments
- Maintain a comprehensive student enrollment and withdrawal process to collect and record pertinent information
- Manage the collection and maintenance of student information (receiving forms and paperwork, tracking missing forms, managing databases, updating contact information, keeping records current, etc.)
- Pulling reports through ADE to compare and correct any information not aligned in student information system
- Scheduling/Rostering teachers and students into the student information system for the school year
- Ensure testing materials are properly ordered, received, and submitted for scoring; assist with logistical testing planning
- Oversee student files to ensure all proper documentation is collected, tracked in our student information system, organized and filed
- Oversee student attendance and the process of late arrivals/early check outs are being enter properly in IC.
- Correspond regularly with families regarding updates to school policies, trips, events, and other relevant information.
- Assist with creating and managing the student recruitment process by maintaining list of community partners with which to correspond
- Perform other duties as requested or required
Qualifications
- Bachelor’s Degree with management, accounting, operations or HR focus preferred
- At least 3+ years of work experience preferably in an operations management capacity, in a fast-paced, entrepreneurial environment
- Previous experience working in a school environment preferred
- Comfort level with financial oversight and budgetary tracking to support strategic growth
- Experience with accounting, financial oversight, and human resources desired
- Experience working managing multi-functional teams to achieve desired results
- Proficient in MS Excel, MS Word, PowerPoint, and Outlook
