SUMMARY:
The Payroll Human Resources (HR) Specialist will handle all aspects of the payroll function for Certified Nurse Assistant, Physicians, Nurse Practitioners, and Staff; oversee Time and Attendance, and assist with assigned Human Resources functions. This position will provide administrative support and enhance the effectiveness of the Human Resources Manager, with specific responsibilities such as onboarding, audits, benefits reconciliation, employment verification, and other projects as assigned. The HR/Payroll Specialist will operate in a team environment, working under tight deadlines, with confidentiality and discretion to be always maintained. This position typically reports to the HR Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Enter new hires and Certified Nurse Assistant (CNA) contractors into ADP Workforce Now System
- Download documents from the ADP Workforce Now HR Onboarding Dashboard and in the personnel file on OneDrive
- Help administer E-Verify account
- Update report for PTO hours for payroll processing
- Review timesheets to be approved by employees and supervisors to process payroll
- Update I-9 Re-verification Tickler and discard from files those documents that already expired
- Track pay rate changes and notate on personal folders
- Enter payroll changes such as direct deposit, tax withholdings, address, employment status, pay rate, change of status from part-time to full-time or vice versa, etc.
- Set-up state and local taxes in ADP as needed, and send payroll tax communication to ADP; and administer payroll tax duties
- Process monthly payrolls, send them to HR Manager for review, and submit payrolls in ADP once approved. Process Admin (Staff) payroll every 8th of the month; Physicians/Nurse Practitioners Payroll every 12th of the month and CNA Payroll biweekly
- Track 401k employee’s contributions for employees in more than 1 entity prior to payroll processing to ensure they do not max out
- Complete verifications of employment when necessary
- Oversee FSA/HRA/HSA daily spending accounts to reconcile with Bank transactions.
- Reconcile monthly insurance invoices
- Enter life insurance beneficiaries’ information into ADP Workforce Now system as needed, encourage employee to maintain themselves
- File personnel information and/or discard regarding HR/payroll retention requirements
- Create earnings reports when necessary for Workers Compensation filing and annual audit.
- Assist HR Manager with annual 401k audit
- Run report to estimate annual gross pay for Physicians for life & disability insurance purposes, typically monthly
- Track performance reviews and evaluation dates to remind supervisors of due dates.
- Review ACA forms at year end
- Perform other duties as assigned by Management
KNOWLEDGE AND SKILLS REQUIREMENTS:
- Proficiency in Microsoft Office Suite with advanced level skills in Excel to perform analysis.

EDUCATION and/or EXPERIENCE:
- Bachelor’s degree in accounting or finance is preferred; or bachelor’s degree with a minimum 5 years of payroll and human resources experience; or equivalent combination of education and experience
- Healthcare experience preferred
- Payroll and Human Resources experience required
- Tax and Data analysis experience is a required
