JOB TITLE: Buildings and Grounds Supervisor
REPORTS TO: LDA Board Member - Head of Buildings and Grounds

POSITION SUMMARY:
The Facilities Supervisor oversees the daily operation of the buildings, grounds, maintenance, security and safety, to include all routine repair and maintenance work, as well as managing special construction and capital projects. This individual manages a maintenance staff and seasonal employees, scheduling, performance evaluation (with LDA Board Head of Buildings and Grounds) and development of maintenance staff. The Supervisor of Buildings and Grounds coordinates and completes work in the buildings and on grounds, order supplies and maintains equipment, and advises LDA leadership on steps and investment needed to maintain the facility in proper condition, in accordance with all required audits, inspections and regulations (local, state, federal).

· Order and maintain supplies necessary for the support of all buildings during season and throughout the year.
· Coordinate the selecting, bidding, ordering and controlling of inventory for maintenance, repair and supplies, ensuring quality at a competitive price.
· Work with vendors, acquiring and evaluating estimates to ensure the best prices; negotiate contracts; recording and handling all invoices in a timely manner
· Maintain contact and emergency lists for utility companies and other agencies necessary to conduct efficient business
· Oversee building permits issued by LDA, in accordance with all necessary permits from other levels of government
· Assists in developing and managing the use of facilities renewal budgets and long-term planning of facility upgrades and replacements.
DUTIES AND RESPONSIBILITES:
· Coordinate and assure performance of weekly, monthly, quarterly, semi-annual and annual preventative maintenance schedules.
- Visually inspect all common areas on a daily basis to ascertain maintenance needs.
- Review the maintenance log and prioritize the work assignments.
- Prepare work schedules and follow up for maintenance personnel by managing and delegating the work orders and maintaining schedules.
- Set up periodic inspections of the total property systems of checking such items as roofs, building façade, parking lots, grounds, signs, equipment, and report finding and repair needs to LDA Board member – Head of Buildings and Grounds.
- Initiate, supervise and maintain an up-to-date repair record and cleaning schedule for all equipment
- Ensure all work is completed in a timely and effective manner with respect to assigned priorities.
- Develop, implement and manage a training program to ensure quality and safety
- Maintain all files and records consistent with the adequate functioning of facilities.
- Inspect all work in progress and/or completed by staff and outside contractors
- Respond to maintenance emergencies at any time needed.
- Continuing knowledge development regarding maintenance methods and standards.
- Supervision and management of construction and remodeling projects.
- Management and execution of the preventative maintenance program, not limited to scheduling, tracking results, and managing updates to ensure timely completion
- Maintains list of and relationships with local contractors and vendors
- Provides general direction and leadership for all aspects of departmental functions in order to maintain LDA efficient operation
- Develops and implements standards, policies and procedures to improve productivity and customer service.
- Manages the operational response to unplanned urgent conditions such as on-campus and off-campus utility failures, weather conditions and other emergencies.
· Implement workplace safety policies and standards.
QUALIFICATIONS:
· Bachelor’s Degree in engineering, administration or facility management preferred
· Five or more years of leading and supervising professional staff and laborers concerning Buildings and Grounds; preferred
- Knowledge and experience in sustainable operations
· Knowledge and experience of carpentry, painting, electric, plumbing, HVAC, sanitary systems, water.
- Experience managing budgets and training personnel;
- Experience working with leadership;
- Able to work flexible schedules, including evenings, weekends;
- Valid New York State Driver's license
· Familiarity in drafting and understanding blue prints and schematics
· Effective communication and people management skills including supervising all maintenance employees
· Comfortable working in a fast-paced environment
· Experience with Grounds keeping and equipment usage and repairs
· Interpersonal skills to interact with board members, employees, guest and residents of Lily Dale in a pleasant manner
· Attention to detail to ensure that all jobs are completed in an exemplary manner and any potential hazards or warning signs of problems are not overlooked
· Physical stamina to handle a full shift of being active and working on Lily Dale buildings and grounds

Building operations are open 24 hours, 7 days per week
