Job Overview:
We are seeking a detail-oriented and organized Operations Administrator to oversee the smooth and efficient operation of our small black owned international consulting firm. We work with corporate and non-profit senior leaders and their teams to integrate diversity, equity and inclusion (DEI) into their everyday business. Duties:
- Responsible for scheduling all client appointments, meetings and visits, and managing the schedule of the CEO. Requires the ability to coordinate schedules across multiple stakeholders. Regularly communicates with clients by email on all scheduling matters.
- Coordinate travel arrangements for CEO and other stakeholders as needed, including preparing related expense reports.
- Responsible for preparing monthly client invoices, based on a time entry system. Work closely with the CEO to reconcile time charged per client with client contracts.
- Responsible for storage and easy retrieval of all client materials and records including meeting agendas, notes, presentations and other artifacts. Work closely with the CEO to ensure all records are kept up to date.
- Set up and manage subcontractors in all systems (Quickbooks, Google Workspace, etc.)
- Ensure website, CEO profile and social media are current at all times. Respond to general inquiries in a timely fashion.
- Prepare and edit work products.
Qualifications:
- Expert proficiency in Google suite (gmail, docs, sheets, slides, forms, drive, etc). Experience in Quickbooks is a plus
- Strong written and verbal communication skills
- Excellent attention to detail and accuracy in work
- Ability to multitask and prioritize tasks effectively
- Strong relational skills and ability to collaborate with others.
- Evidence of self initiative. Requires ability to work independently with minimal guidance
- College degree preferred
- Ideal candidate has worked in an office environment and supported executive level staff, and managed multiple tasks and deadlines
