Role and Responsibilities: The School Counseling Department Secretary is an integral member of the counseling team and is responsible for providing administrative support to ensure efficient operation of the office.Responsibilities include: Supporting the Director of School Counseling, as well as a team of nine counseling professionals. Manage and maintain digital and physical filing systems to organizational standards.Produce and edit documents such as letters, reports, and memos from draft stage to final copy, including digital formatting.Create and manage data through the creation and implementation of spreadsheets, utilizing a thorough knowledge of Google Sheets/Microsoft Excel.Use PowerSchool to assist in a variety of school-related tasks, such as grade verifications, scheduling, transcript creation, etc. Operate office equipment for scanning and copying documents, ensuring proper handling of official correspondence.Handle official inquiries on behalf of the office as directed by the supervisor.Assist in the distribution of internal communications and the proofreading of documents. Ensure that office operations comply with administrative protocols and policies.Welcome visitors warmly, assess their needs, verify appointments, and guide or escort them to the appropriate person or office.Manage incoming calls, provide accurate information, or redirect calls to appropriate colleagues.Complete administrative tasks such as filling out forms and processing requests as directed by the supervisor.Effectively utilize advanced office technology and software in executing assigned tasks.Perform additional duties or special projects as assigned by the supervisor.Additional Information: This role demands a proactive, organized individual who is adaptable to evolving office technologies and methodologies.
The successful candidate will demonstrate the ability to multitask and prioritize in a dynamic environment that is focused on student services. Position is: Full-time, 8hrs/day, 40hrs/week
