About The Role:
The People team is looking for a friendly and organized Office Coordinator to help promote a positive and welcoming environment. You’ll be at the heart of our office, greeting visitors with warmth, assisting employees with inquiries, and ensuring our office operations run smoothly behind the scenes. By helping to plan team events and sprinkling in moments of surprise and delight, you'll keep the office buzzing with good vibes.
This role reports to the Head of Organizational Effectiveness on the global People team and works closely with the London Office Assistant to coordinate programming. Please note: This is a full-time position. Qualified candidates must be based in the New York City area, as the Office Coordinator will be required to work onsite in our Midtown office a minimum of 4 days per week. Hours are 8:30 AM - 5:30 PM with a 1 hour lunch break. The work week is Monday - Friday.
- Oversee office operations, including managing and greeting guests, responding to employee questions and requests, organizing and accepting deliveries, ordering and stocking kitchen and office supplies, managing conference rooms, maintaining our desk and conference room booking system, keeping our space tidy, and overseeing repairs

Build and manage relationships with facilities vendors including cleaning services, maintenance contractors, and food/beverage providers

Liaise with the building team to coordinate office access badges and ensure we remain compliant with workplace safety expectations

Arrange in-office meals and lead the planning and execution of company events, such as parties, happy hours, lunch and learns, volunteer opportunities, and off-sites

Deliver proactive and informative communications to the team regarding office updates and events, including running new employee welcome sessions and office tours

Optimize office environment by evaluating and ordering furniture, reconfiguring our space as needed, and project managing our office expansion

Partner with our IT team to ensure employees are onboarded and offboarded properly, and that office / employee IT needs are addressed promptly and efficiently

Keep spend within our office budget limits while ensuring timely expense reporting

Help our executive team with administrative and event-based requests and support our CEO when in the NYC office

Provide project management and administrative support to the PeopleOps team
- An ability and desire to work 4-5 days per week out of our Midtown NYC office

Natural understanding of what great hospitality looks like coupled with a passion for creating a positive and welcoming work environment

Salary ranges are determined by competitive market data for our size, stage, and industry, experience and location of the applicant, and our internal salary banding, which is reviewed at least annually.
We aim to be as transparent, equitable, and fair as possible. Qualified candidates and our Talent Acquisition team will discuss salary and benefits in the initial conversation, and final salary will be determined after candidates complete the interview process. We expect that the majority of candidates who are offered roles at TTG fall healthily throughout the range based on the above factors.
