This role is for a Property Manager at Mishawaka location (200 plus units)
The Property Manager is a leader that is accountable for all operations at the apartment community that they oversee. This leader should effectively supervise, manage, and coordinate staff, activities and available resources to accomplish their property objectives as set forth by their property owner. These objectives include, but are not limited to, maximizing occupancy, revenue, and property values while monitoring expenditures. The Property Manager should always be abreast of industry trends and their position in the competitive apartment submarket of their area.
Essential Functions and Responsibilities:
Financial
- Create, with the assistance of the Director of Operations the annual property budget and adhere to the budget levels approved
- Continually analyze and make suggestions to improve rent growth, income and expenses to increase NOI
- Conduct monthly analysis of financial statements and create variance reports
- Process daily bank deposits
- Work with accounting team by maintaining current vendor COI records as well as entering accurate details for invoice coding entry and preparing timely submission of community expenses
- Property Managers should take all steps necessary, up to and including filing timely evictions, to collect 100% of monthly balances due.
Personnel
- Conduct recruitment through all sources and hiring of qualified candidates when staffing is necessary
- Facilitate training for new team members or develop methods of cross training for those individuals seeking career advancement
- Perform all HR related tasks such as annual performance reviews, conduct appropriate/timely disciplinary action and coaching
- Submit accurate timekeeping for payroll
- Completes and trains staff on when and how to document necessary information
Administrative/Office
- Conduct all business in accordance with our Policies and Procedures, Fair Housing Laws, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and State laws pertaining to the management of a multi-family community and ensures that all personnel conducts business in accordance as well.
- Ensure all move in and move out procedures are followed
- Complete all daily data entry requirements for Property Boss to keep all financial and residential information accurate and up to date
- Analyze monthly reporting to ensure data entry is accurate
Resident Relations/Marketing/Leasing
- Execute effective leasing, marketing and resident retention plans or activities that can be adapted in the every changing rental marketplace and make residents feel engaged and valued.
- Show apartments and set appointments with a lead by example approach for the leasing team
- Review all applications to guarantee resident selection criteria is being followed
- Effectively resolve day to day resident concerns and communicate important information to residents with well-written, professional notices or emails, but also be able to understand what kinds of communication can be better received with a direct phone call or in-person meeting to achieve excellent customer service and community experience.
Maintenance
- Schedule time to regularly inspect market ready apartments and community common areas to monitor appearance and limit liability
- Understand general apartment maintenance process to be able to supervise/hold staff accountable for all daily activities such as resident work order completion, unit make ready process, preventative maintenance, etc.
Safety
- Reports onsite incidents to Supervisor immediately and enters necessary reports, resident narratives, and pictures.
- Ensure that all safety equipment is accessible and utilized
- Monitor that safety training is conducted through either instructor led courses or online learning
- Read and understand all of company Strategic Management Solutions policies in place on employee and resident safety
General
- Communicate vital property needs to Supervisor with a solution-based approach
- Establish excellent rapport with residents, vendors, local merchants, and surrounding community groups
- Carry out other duties as assigned by the Supervisor and other leadership team members
Desired Skills and Competencies
- Understanding of NOI, cash flow and experience in property financial analysis
- Must be able to handle crisis and conflict appropriately
- Must be able to communicate effectively in the organization both verbally and in writing
- A complete understanding of Fair Housing, Fair Credit and ADA
- A thorough understanding of apartment rent collection procedures
Education and Experience
- At least 3 years of experience in property management, with a track record of success in the apartment industry and showing promotion in different roles, progression in responsibilities, leadership and oversight.
- Ability to multi-task and prioritize
- Exhibit strong attention to detail
- CAM preferred
General
- Performs any additional duties assigned by Supervisor. Continuing education courses such as Applicable Courses and other Apartment Association courses will be required. Work Hours: 40 hours per week full-time employee. Employees will be required to work a flexible workweek as necessary.
Driving & Traveling Requirements:
- Occasional need (1% to 33% of the time) to utilize personal transportation to inspect apartment community and possibly make trips to the bank. You will be required to shop competitors as requested. You will be reimbursed mileage according to our mileage policy.
- In some cases, the Property Manager will need to operate a property golf cart to show residences to potential customers.
- Property Manager’s will be required to travel to and attend mandatory training sessions.
- A valid driver’s license is required.

Physical Requirements:
- A Property Manager should walk the entire community to inspect the physical asset frequently, as well as show the community to prospective residents, tour owners and meet residents at their apartment for inspection, as needed, as well as climb stairs. Both climbing stairs and walking the community for these various functions will be a constant requirement for this position.
- Other physical requirements may include but are not limited to:
- Lifting at least 20lbs to carry basic office supplies, hand resident a package delivered, etc.
- Bending, stooping, or squatting to pick up litter or complete filing, etc.
- Conducting all computer functions such as viewing reports and correspondence and typing information into the community software systems, as well as creating well written (with no grammatical or spelling errors) communication to residents and supervisors
- Listening to all internal/external customers and speaking with them over the phone and in person.
- In addition to having a valid driver’s license and auto insurance, a leasing consultant should be able to utilize personal transportation to shop the competitive apartment communities, run property errands, visit the corporate office and attend offsite meetings/training. Transportation is also important to lead prospective resident tours and drive community to inspect exterior assets during inclement weather.
- Should be able to exercise solution based problem solving skills, manage emotions in tough situations, preform duties under pressure/deadline, take instructions from supervisors, and work as part of a team but also complete unique responsibilities in a timely, accurate fashion.
All prospective employees must pass pre-employment drug screening, criminal background check and should have a valid driver’s license.
