Operations Manager
The Office of Councilmember Nithya Raman is seeking thoughtful, hard-working, and compassionate team members to work in a collaborative, fast-paced environment. Our office is seeking a Operations Manager to maintain the functioning of daily office operations and completion of administrative and clerical tasks.
The ideal candidate would have:
- Excellent communication skills, both verbal and written, for internal and external stakeholders, visitors, and staff members.
- Ability to multi-task, assess priorities and competently handle a variety of activities with a high degree of accuracy in a fast-paced environment.
- High level of confidentiality and professionalism.
- Superior attention to detail, organizational and time management skills.
- Knowledge of administrative and office practices including the City of Los Angeles policies and procedures.
- Must be tactful and diplomatic in all interactions with a high degree of good judgment.
- Committed and very conscientious about accuracy of work product.
- Ability to work independently and as part of a team.
Duties may include, but are not limited to:
- Proactively addressing office needs to maintain optimal operations
- Assisting the Chief of Staff with developing and enforcing office systems and procedures
- Scheduling meetings primarily for the Chief of Staff and for the Councilmember as needed
- Managing office supply orders, submitting orders to the City Clerk’s office for fulfillment, ensuring adequate supply levels
- Ensuring office common areas spaces and storage are kept organized, clean and sanitized
- Procuring all office maintenance and IT support requests
- Handling all office subscription payments and cancellations as needed
- Conducting office onboarding tasks related to providing new staff with office equipment, keys, badge access, and orientation of office protocols
- Creating a system for tracking and managing office motor pool check out/ins, ensuring cars checked out by staff adhere to maintenance schedule, are kept clean and are returned to assigned headquarters locations
- Acting as the safety officer for City Hall to ensure the office is in compliance with emergency and safety procedures
- Assisting District Liaisons with all inbound/outbound company mail distribution
- Maintaining the company Purchase Order system and implement all office expense purchases
- Maintaining the company vendor database
- Maintaining the office database and assisting Councilmember with thank you and holiday cards as needed
- Assisting the District Liaisons with office reception for visitors as needed, ensuring the conference rooms are set up and reset following each meeting
- Creating and maintaining the checkout system and organization for community event equipment
- Running errands for the Councilmember (i.e. pick-up and drop off of packages and materials), as needed
- Assisting the Field team with answering the phones and attending community outreach events as assigned
The position is full-time and exempt from Civil Service. Compensation will be based on experience and includes excellent benefits.
