Your Role:
As a Clinic Admissions Representative, you will be the welcoming face of our clinic, ensuring that every patient has a seamless and positive experience from the moment they walk through our doors. Your primary responsibilities will include:
Greeting Patients: Warmly welcoming patients and visitors, providing them with the information and assistance they need.
Patient Registration: Accurately collecting and entering patient information, ensuring all necessary documentation is completed.
Appointment Scheduling: Managing and coordinating patient appointments, maintaining an organized and efficient schedule.
Insurance Verification: Verifying patient insurance details and ensuring all necessary authorizations are obtained.
Record Keeping: Maintaining accurate patient records and ensuring confidentiality in compliance with HIPAA regulations.
Communication: Effectively communicating with medical staff, patients, and their families to provide clear and concise information.
Other Essential Functions:
- Open mail and distribute.
- General receptionist duties, such as scheduling appointments and answering the phone.
- Preparing admissions form.
- Write payments to posting sheets after payment has been collected at time of service.
- Scanning Documents into Electronic System.
- Printing faxed reports for physician signature and delivering to the appropriate physician.
- Taking detailed phone messages.
- Knowing Insurance Cards and understanding them.
- Checking Patient Insurance Eligibility
- Put new accounts into the computer.
- Maintains an organized system for the progression of the medical record through the clinic process (i.e. retrieving, super billing, transporting, locating, copying and/or filing of the patient’s chart).
- Responds to medical record inquiries from physicians, patient and staff.
- Follows a prescribed procedure for verifying the accuracy and scanning of dictation and scanning in the patients’ medical records, i.e., history and physicals, progress notes, and/or other professional correspondence.
- Follows specific guidelines for the routing of reports/correspondence to designated persons for approval and/or signature.
- Responsible for equipment maintenance, identifying problems and coordinating appropriate repairs.
- Responds to phone inquiries referring to appropriate personnel.
- Works assigned shift/shifts, weekends and holidays, as scheduled.
- Types letters to patients for no show appointments and follow up with the patient on missed appointments.
- Follows a prescribed procedure for the transferring of medical records.
- Operates various office machines, i.e. fax, copier, computer.
- Performs miscellaneous office duties, i.e., filing, and/or retrieving medical records, reports, mailing dictation, perform secretarial duties, answering phones, scanning records
- Assists with location of medical records.
Job Type: Full-time
Pay: $31,324.80 - $42,598.40 per year
