SUMMARY/OBJECTIVE:
Dentons Bingham Greenebaum LLP has an excellent opportunity for an experienced Legal Administrative Assistant to join our Trusts and Estate Planning department in our Louisville, KY office. A Legal Administrative Assistant supports the delivery of quality legal services to clients by providing administrative and specialized secretarial assistance to attorneys and/or paralegals and working collaboratively and cooperatively with others in a team-oriented environment. The responsibilities of this position require decision-making skills and independent judgment. Candidates should be able to work with multiple attorneys and clients, have excellent writing and verbal skills, strong analytical and organization skills, as well as the ability to work independently, multi-task, and meet many various deadlines.
The ideal candidate will have at least 5 years of experience working as a Legal Administrative Assistant with a sophisticated Trust and Estate practice group.
This position will include traditional LAA responsibilities including but not limited to: preparation of detailed legal documents, electronic filings, client management, billing, time entry, formatting, proofreading and editing of documents, travel arrangements and other legal assistant functions. We seek candidates that are self-directed, high energy, and have advanced computer skills.
Knowledge, skills and abilities:
- Prepare and process complex legal documents (including Trusts and estate planning documents and forms), correspondence and memoranda
- Proofread documents and check for appropriate formatting, spelling and grammar with a high degree of accuracy
- Knowledge of Trusts and Estate Planning terminology and procedures
- Revise and redline documents as directed. This function requires accurate typing at a net speed of 70 words per minute; the ability to transcribe from (Big Hand) handwritten drafts or verbal instructions; and a continual attention to detail
- Receive and screen telephone calls courteously, professionally and in a clear, concise and well-organized manner and take messages as required
- Receive and direct clients and visitors; high level of interpersonal skills needed to handle sensitive and confidential situations. Position continually requires poise, tact and diplomacy when dealing with clients, attorneys and co-workers
- Maintain and update calendar and deadline reminder systems for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
- Prepare and process outgoing mail and faxes, arrange for specialized mail or messenger services as required and ensuring that all attachments, exhibits and enclosures are included
- Respond to inquiries, review and route incoming communications and, when appropriate, take action on the partners’ and other attorneys’ behalf
- Proficient in legal software (e.g., Microsoft Office Suite, legal case management software)
- Open new matter and files; perform routine filing and retrieve files as needed; maintain chronological and administrative files and ensure files kept current and up-to-date
- Follow instructions effectively from a diverse group of clients, attorneys and staff
- Ensure partners and other attorneys are prepared for all meetings
- Excellent written and verbal communication abilities with a concrete understanding of Partner level communication styles
- Enter and proof daily time entries and submit in a timely manner
- Adaptability and ability to work in a fast-paced environment
- Strong time management skills, ability to identify work that needs to be completed and take prompt action without direct instruction; prioritize requests and ensure deadlines are met.
- Proven success as an independent worker with strong organizational skills
- Ability to multi-task and balance multiple projects and priorities simultaneously
- Concrete understanding of Partner level expectations, turnaround demands and sense of urgency
- Learns quickly, aptitude for detail-oriented projects, and eager to grow with this practice group
- Prepare expense reimbursement and disbursement requests.
- Effective team player with a positive attitude; Provide assistance to other legal administrative assistants as time permits
- Consistent attendance and punctuality
Experience & Qualifications:
- 5 years of experience as a Legal Administrative Assistant in Trusts and Estate Planning law is preferred.
- Undergrad degree or Paralegal Certificate is a plus.
- Minimum 5 years of experience in Microsoft Office, especially Word and Outlook.
- Proficient in scanning or converting documents into PDF format.
- Advanced knowledge of computers and how to navigate computer desktop.
- Knowledge of Excel and PowerPoint.
- Ability to learn and become proficient in various software programs including, but not limited to, iManage DM, Intapp and UPS CampusShip.
- Ability to prioritize duties when faced with interruptions, distractions, and fluctuating workload.
- Ability to adapt to changes in the work environment, manage competing demands and deal with frequent change, delays or unexpected events.
