As a Business Operations Manager you will apply outstanding interpersonal and organizational skills across various functions, including administrative tasks, operations, human resources, and IT. POSITION AVAILABLE IMMEDIATELY.
POSITION TITLE: BUSINESS OPERATIONS MANAGER
Time Commitment
40 hours per week
Location Washington, DC area, preferred.
Classification and Salary
Employee, compensation commensurate with experience, range 70-90k.
Training and Experience
- Bachelor's degree in business administration, marketing, HR, operations, or a related field.
- 3-8 years of professional experience in consulting, HR, business operations, marketing, project management or related fields.
- Proficiency with office and administrative software, including MS Office, MS Excel and MS PowerPoint, Microsoft Teams, and SharePoint.
- Knowledge of HR systems and processes.
Desired Qualifications
Proven organizational skills, including time management.
- Project management experience.
- Strong analytical and critical thinking skills.
- Self-sufficiency and an ability to work with minimal supervision.
- Strong verbal and written communication skills.
- Basic knowledge of Wix or other website development software, digital content management systems, and social media platforms not required but a plus.
Duties and Responsibilities
In collaboration with executive leadership, and project managers, the Business Operations Manager's core duties and responsibilities within the following areas include:
Finance, Accounting, & Reporting
A/R Aging:
- Run Aging A/R Report and follow up with clients when invoices are outstanding.
- Work to set up clients with direct deposit if they are sending paper checks.
Time keeping system:
- Provide admirative support to ensure PMs are approving time and expense reimbursements for project work.
- Support the management team on expense reimbursement submissions as needed.
- New project set up: coordinate with PM when a new project needs to set up in.
A/P:
- Process new vendor set up.
- Submit vendor invoices.
- Coordinate payments and follow-up with vendors on payment delays.
Reporting
- Coordinate Grant Reporting as directed by the PMs and Managing Directors.
Human Resources
Recruiting:
- Support the recruitment process by posting positions, screening applications, coordinating interviews.
New Employee Onboarding:
- Coordinate with senior management the offer letter for the employee – confirm that the salary is in accordance with budgetary ranges.
- Assist the hiring manager in the onboarding process with new hires.
- Conduct the onboarding checklist in a timely manner, including scheduling onboarding meetings.
- Set up the new employee with payroll, coordinate with accountant on state tax accounts, coordinate the set-up of employee benefits, and other Moonshot Systems.
- Conduct an onboarding presentation to introduce employees to all our systems, share handbook, policies & procedures, and SOPs.
Benefits:
- Administer benefits portal. Coordinate with health care brokers if there are questions or issues with the employees’ health care accounts. Answer and address employees’ issues regarding deductions.
Health Savings Account:
- Administer account, including the transfer of funds to the employees HAS from the payroll deductions. Point of contact for HAS questions.
Employee Handbook:
- Update employee handbook as needed.
Red Flag Reporting:
- Administrator for RedFlag Reporting and any other HR issues.
Insurance Policies:
- Administrator for Moonshot’s insurance policies.
Conduct research and analysis of organizational best practices, and other duties as required/assigned. IT Employee Onboarding:
- Coordinate with IT vendor to follow the IT onboarding checklist.
Ongoing:
- Main liaison/point of contact for any ongoing questions, security concerns, new software to be deployed.
Operations and Contract Management
SOPs:
- Maintains and updates SOPs as needed.
- Develops or supports the development of new SOPs as needs arise.
- Identify opportunities for organizational improvement in operational areas.
Contract Set up and Management:
- Point of contact for providing new contract documentation and managing the execution of contracts.
- Engage with client contact as needed on ongoing contract management questions regarding budgets, billing with the PM on the lead.
Program Management Support:
- Assist project managers with external and internal meeting coordination and facilitation (both virtual and in-person).
Other duties as assigned.
Job Type: Full-time
Pay: $70,000.00 - $90,000.00 per year
