Job Summary
We are seeking a detail-oriented and motivated individual to join our accounting team as a Accounting Associate. This is a critical position, responsible for performing paraprofessional accounting work of a highly skilled and responsible nature. You will own key aspects of day-to-day transactions including our inventory costing process and payables, receivables, and various month-end closing tasks and ad-hoc projects. This position is responsible for management support and accounting duties that could include invoice processing, month end close activities, software to software connectivity, account analysis, journal entries, expense analysis, commissions calculations, physical audits, technical report writing, preparation of various reports, clerical, and administrative assistant duties. Performing a wide range of clerical support such as data entry, filing, scanning, and uploading documents, spreadsheet creation and management, reporting, handling phone calls, scheduling, sorting and distributing mail and basic accounting.
This is a full-time position, Monday through Friday, 8AM to 5PM. The position will be working out of our Corporate Headquarters, located AT 3750 W. Indian School Rd. Phoenix, AZ. No nights, no weekends, and no major holidays!
Duties/Responsibilities
· Assist Accounts Payable team with printing invoices, maintaining vendor files, including proper classification type, obtaining vendors’ w-9, certificate of insurance and/or worker’s compensation waivers for new vendors. Assist with inquiries about vendor concerns.
· Linking and Syncing software to software functions (QuickBooks).
· Review and monitor accounting email inboxes for vendor, customer, or other inquiries and respond appropriately.
· Assists in the development and creation of reports; collecting, compiling, and typing information as assigned.
· Assist Accounts Receivable team with contributions coding and entry into accounting system. Responsible for scanning and uploading documents into accounting system.
· Files and maintains physical documentation as necessary for efficient retrieval. Pulls files and documents as needed.
· Prepares correspondence and creates spreadsheets for the Accounting department as requested. Coordinates meetings as needed including arranging for space, receiving RSVPs, ordering needed supplies as needed.
· Follow company’s established accounting processes and procedures.
· Entering Fixed Assets as provided and directed.
· Proactively assist in resolving outstanding Purchase Order, Goods Receipt, and/or invoice issues until vendor payment occurs.
· Verifies checks or electronic fund transfers (EFT) payment amount matches invoice(s). Processes checks and 1099’s for mailing.
· Providing schedules as needed.
· Perform month-end and year-end closing activities as assigned by manager.
· Account Analysis & Reconciliation
· Receives, sort and distributes the Accounting Department’s mail.
· Supplies Ordering for department staff, daily office supply replenishment.
· Assist Controller with audits as requested.
· Support Asst. Controller/Controller
· Perform other duties as assigned
Required Experience/Qualifications
- Minimum 4 years of accounting experience.
- Minimum 2 to 3 years of administrative or clerical experience.
- Proficient or basic understanding of accounting rules and GAAP.
- Strong attention to detail and organizational skills.
- Effective communication skills.
- Ability to work collaboratively and assist in various accounting functions.
- Adherence to confidentiality and data security protocols.
- Proficiency in Microsoft Office, specifically Word and Excel.
- Proficiency in using accounting software (QuickBooks).
Physical Requirements
· Occasionally lift and/or move up to 20 pounds.
