Speech Matters SLP, PLLC, is a well-established and growing adult and pediatric speech therapy private practice located on the Upper East Side of New York City. We are looking to add a skilled office manager to join our vibrant team!
Job Summary:
The Office Manager will be responsible for overseeing the daily operations of the office. This role includes managing appointments, handling client scheduling, maintaining documents and records, supporting new hires, organizing the office, managing inventory, providing visitor support, and participating in strategic planning. Effective Communication is essential.
Key Responsibilities:
- Appointment Management: Schedule and reschedule appointments efficiently.
- Client Scheduling: Schedule new clients and collect necessary information from various sources such as faxes, email, or phone calls. Maintain an organized and accurate schedule to optimize client appointments.
- Document Management and Record-Keeping: Print and scan necessary documents from designated locations within the office. Organize documents and client files digitally and as hard copies to ensure accurate record-keeping.
- New Hire Support: Assist in the onboarding process and interviews for new hires.
- Office Organization: Maintain and organize the office layout to ensure a professional and functional work environment. Ensure the office is clean, orderly, and conducive to productivity.
- Inventory Management: Regularly take inventory of office supplies. Ensure adequate supplies are available and reorder as necessary.
- Visitor Support: Provide general support and assistance for visitors
- Strategic Planning: Monitor ongoing projects and keep track of next steps to ensure smooth progression. Ensure timelines and deadlines are met and communicate progress with relevant team members.
- Communication: Maintain efficient and clear communication with clients, the office owner, and other team members including the billing department, therapists, and outside parties. Act as a point of contact for internal and external communication.
Qualifications:
- 1+ year(s) experience as an Office Manager, Receptionist, or Administrative Assistant.
- Proficiency in MS Office and Google Workplace
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks.
