Job Summary:
We are seeking a dedicated and compassionate Patient Care Coordinator to join our team. As a Patient Care Coordinator, you will play a crucial role in providing quality care from start to finish in our patient's surgery process.
Duties inlude:
-Answer all the 1st time consult phone calls and schedule the consults if patient is requesting more information after speaking with the Front Desk.
-Call and schedule Patient Now and RealSelf leads if Front Desk is unavailable.
-Give quotes to surgical consults.
-Prepare folders ahead of time for new consult patients with pertinent practice information and the quote.
-Follow up with ALL consults regarding dates, deposit, price match, reconsult, etc. via phone and email.
-Call all surgical patients on post-op day1 to see how they are doing. Communicate with surgeon any concerns and document call in EMR.
-When scheduling surgery be aware of clinic schedule and other blocks of time that may be cause a scheduling conflict or issue for patients or surgeons.
-In the event of an insurance case, schedule at the hospital, fill out all necessary forms and checks patients benefits. Insurance/hospital patients still need to preop at our office. Confirm all forms received by hospital and special needs are requested such as anesthesia first assist, etc.
-Schedule pre-op, surgery and post-op appointments for all surgical patients.
-Prepare patients for surgery by completing the surgery checklist and following up with medical staff regarding any special needs for the case.
-Communicate special needs or any changes in the schedule to the OR staff directly.
-Check surgery checklist the day before surgery to make sure all is in order.
-Prepare the mini–Operative Report and the superbill for the surgeons the day before surgery. Create a surgery record in patient now for all surgery patients the night or the day of surgery.
-Prepare charts and schedule for Chart Rounds.
-Attend chart rounds and document/fulfill all changes to the schedule or needs for the case (i.e. different implants or personnel needs). Confirm all changes with the OR staff and on the EMR schedule.
-Participate in social media.
-Request reviews from happy patients.
-Market the practice to other businesses and physicians.
-Create post-op goody bags for surgical patients with appropriate items such as scar gel, coupons for microneedling, creams, sunscreen, etc.
-Participate in Open House/ Special events
-Understand and follow all OSHA, HIPPA standards.
Qualifications:
- High school diploma or equivalent required; additional education in healthcare administration is a plus
- Previous experience in a Plastic Surgery/ Surgery setting preferred
- Knowledge of medical terminology and procedures
- Proficiency in using electronic medical record systems
- Excellent organizational skills with attention to detail
- Strong communication and interpersonal skills
- Ability to multitask and prioritize tasks effectively
