DOTOLI Group seeks a High-Level Executive Assistant to provide comprehensive administrative, operational, and construction support. This position is crucial in enabling our CEO to focus on selling Real Estate and managing construction development projects by handling back-end and daily administrative tasks. We seek an exceptional candidate committed to going above and beyond to help the group grow and expand its business.
The ideal candidate will possess a background in Real Estate, Project Management, or Construction Administration, though this is not a strict requirement. They should have a proven track record of creating and implementing systems and procedures in an office environment, managing end-to-end business operations, and overseeing core real estate and construction activities. The candidate should be highly presentable, have impeccable follow-through, and possess exceptional verbal and written communication skills. This person will have a strong sense of urgency, enjoy “to-do lists,” and be capable of working with minimal supervision while gradually taking on more responsibility and leadership within the team.

Responsibilities:
The primary responsibilities of this role include, but are not limited to:

Collaborate with the CEO on urgent tasks and top priorities.

Coordinate property showings and prepare listing details.

Provide on-demand assistance to clients, including weekends, and draft offers during agent travel.

Engage in sales activities, including lead follow-ups, networking, and upselling.

Conduct regular client check-ins, share market insights, and seek referrals.

Assist with office tasks, event coordination, and customer document management.

Support the owner in business and personal matters.

Maintain database systems and ensure timely execution of programs.

Manage phone calls and inquiries, and provide proactive customer service.

Schedule meetings, track expenses, and create effective budgets.

Produce financial reports, presentations, and briefs.

Hold weekly accountability reviews and assist clients with an exceptional experience.

Manage day-to-day office operations and lead management.

Assist clients through the closing process and eventually contribute to hiring, training, and accountability of team members.

Construction Administrative Tasks:

Coordinate and manage permit applications and renewals.

Ensure compliance with local, state, and federal regulations.

Liaise with construction teams and ensure timely submission of necessary documentation.

Track and monitor the status of ongoing projects and permits.

Maintain and organize construction project files and records.
-
Communicate with contractors and subcontractors to gather and disseminate information.

Manage schedules and timelines for construction-related activities.
Qualifications:-

This person must have a CAN and WILL DO attitude. This person will do everything they need to free their agents up to sell.
