For more than 50 years, the California Veterinary Medical Association (CVMA) has offered its Veterinary Small Business Owner members a highly successful group insurance program. A key reason for the success of this insurance program has been active participation by the CVMA in advising insurance carriers and brokers on the unique coverage and service needs of its members.
In 2007, the CVMA formed a wholly-owned subsidiary insurance brokerage. In doing so, the CVMA could better ensure the expansion of insurance products and superior service delivery to its membership. Influenced by the highly successful insurance programs and service delivery provided through the California Dental Association’s subsidiary insurance brokerage, the CVMA formed Veterinary Insurance Services Company (VISC).
Today, VISC is the only brokerage endorsed by the CVMA. VISC is a full service brokerage which strives to maintain client satisfaction through an array of insurance products and services specifically designed to meet the business and personal insurance needs of the veterinary community.
Job Overview:
Provides support to Executive Vice President, Operations Manager, Producers, Senior Account Managers and Account Executives by providing general office and clerical duties and activities. Duties will provide critical support to VISC staff and result in efficient use of time and workflow.
Primary Responsibilities:
· Maintain positive and productive business relationship with Executive Vice President, Operations Manager, Producers, Account Executives, Sr. Account Managers and Account Managers
· Maintain positive business relationship with Carrier Personnel
· Maintain a positive business relationship with clients and provide them with an exceptional service experience
· Answer incoming phone calls and direct calls to the appropriate VISC staff
· Monitor and direct incoming Faxes to appropriate VISC staff
· Photocopy and assist with various VISC mailing projects (paper and electronic mailings)
· Organize and sort various insurance documents
· Open and distribute incoming mail to appropriate VISC staff
· Collect and handle outgoing mail
· Assist and support Sr. Account Managers and Account Managers with maintaining accurate client information in Applied EPIC insurance database
· Assist with EPL renewal process (Applications)
· Maintain “Carrier Cancellation Notices” list and distribute to Producers, Account Executives, Sr. Account Managers and Account Managers. Includes “non-payment of premium and non-reporting of WC Audits”
· Assist Operations Manager, Producers, Account Executives, Sr. Account Managers and Account Mangers with renewal projects as required
Update client/policy information in EPIC in preparation for carrier renewal
Organize and distribute renewal policies for electronic delivery to policyholder
Package, Umbrella, Commercial Auto and Management Liability policies
Preferred Employers Workers Compensation policies
Other renewal projects as required
· Process and distribute policy endorsements from insurance carrier to policyholders
· Assist Operations Manager, Producers, Account Executives, Sr. Account Managers and Account Managers with Workers Compensation Audit process and ordering loss runs as needed
· Process, issue, distribute and maintain Certificates of Liability Insurance
· Process, issue, distribute and maintain Evidence of Property Insurance
· Oversee the Supply Room and Monitor Office Supplies
Make sure sufficient stationary/envelopes/ink, etc., are on premises.
Place orders for supplies needed
Ensure supply room organization and maintain inventory of all supplies
· “Special Projects” and/or any other task assigned
Requirements:
· Previous Office experience – Insurance office experience preferred but not required
· Willingness to obtain Property Casualty License within 180 days of employment.
· Ability to learn Agency Management System, Applied EPIC
· Familiarity with basic computer operation including Microsoft Word, Excel, PowerPoint and Outlook email preferred
· Effective communication skills, verbal and written
· Interpersonal skills to work well with other team members and customers
· Organized and ability to multi-task with strong attention to detail
· Ability to prioritize tasks and meet projected deadlines

Pay: $65,000.00 - $75,000.00 per year
