Carolina Ophthalmology, PA is a physician-owned practice specializing in diseases and surgery of the eye, with a strong commitment to excellence in eye care. Our practice is growing and we are looking to expand the team at both of our offices in Asheville, NC! We are currently seeking a friendly and organized individual to join our Front Office team. As the first point of contact for our patients, you will play a crucial role in providing exceptional customer service and ensuring smooth operations at our ophthalmic clinic. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Greeting and welcoming patients with a warm and professional demeanor.

Registering and assisting new patients and updating existing patient information accurately in the electronic medical records (EMR) system.

Scheduling appointments and coordinating with patients to ensure optimal appointment availability.

Assisting as needed in handling no-shows, canceled or rescheduled appointments by making calls and sending letters, following the clinic policy, and adding notes in the Medflow system.

Answering phone calls, addressing inquiries, and providing information about our clinic services.

Assisting with pulling charts for the next day's schedules and refiling medical records and other paperwork as directed and as time permits.

Prepare the next day schedule as assigned at each location and check the doctor's schedule in advance to make necessary changes.

Depending on the location, calling patients 48 hours in advance to remind them of their appointment and documenting it on patient schedules.

Opening the office in the morning and after lunch, and posting notices on doors to inform patients of closure and reopening times. Also, preparing coffee for patients as needed.

Maintaining a clean and organized workstation.

Performing other duties as assigned by the supervisor based on location.

Managing patient flow in the waiting area, minimizing wait times, and ensuring a comfortable and organized environment.

Collaborating with other team members to achieve overall clinic objectives and provide exceptional patient care.
