Role Description
We are seeking an experienced Executive Assistant, with a team mindset, who will provide high-level support to our President/CEO. The ideal candidate will be trustworthy and professional, with strong communication and organizational skills.
Compensation
Starting at $65k per year. Compensation is negotiable depending on experience.
Essential Functions
- With a high level of professionalism, diplomacy and discretion interact with all stakeholders including; Board Members, Members, Agents, Employees, Consultants, etc., maintain confidentiality of sensitive information.
- Responsible for Board and Committee meeting coordination.
- Attends and takes minutes at Board and Committee meetings as directed.
- Proficiency with MS Office applications to create and produce forms, reports and presentations.
- Ensures high levels of both confidentiality and accuracy in all details while managing multiple priorities.
- Prepares agendas, notices, and minutes for Board of Directors and departmental meetings.
- Reads, researches, and routes correspondence; drafts letters and memos; formats charts, tables, graphs, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Maintains governance documents and files including those related to committees.
- Maintains files for a variety of organizational contracts.
- Coordinates project management initiatives on behalf of President/CEO for all direct reports, ensuring deadlines are met.
- Ensures President/CEO is thoroughly briefed with all related facts, data, and materials to successfully interface with internal and external individuals.
- Monitors and regulates the flow of communications into the President/CEO’s office, ensuring prioritization of requests.
- Coordinates communication on behalf of President/CEO.
- Manages email correspondence independently; screens incoming calls, updates calendar, and acts as gatekeeper for President/CEO.
- Plans various events; orchestrates programs or conferences by arranging for facilities and communicating information or invitations.
- May serve on various committees and teams within organization.
- May assist other departments as needed
Supervisory Responsibility
This position may have direct supervisory responsibilities and/or may serve as a coach/mentor for other positions in the unit.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is a largely sedentary role, must be able to remain in a stationary position at least 50% of the time. Filing, printing, faxing, scanning and copying is required; this requires the ability to move about the office and position self to access equipment and file cabinets, transport items (files, box of paper, etc.) weighing up to 20 lbs., and ascend/descend step ladder/stool as necessary. The position requires extended hours in front of a computer screen and operation of a computer and other office equipment such as a calculator and copy machine. This position requires the ability to communicate and exchange accurate information via telephone and in person.
Hours of Work
This is a full-time position. Regular office hours are Monday through Thursday, 8:00 a.m. to 5 p.m., Friday 8:00 a.m. to 3:00 p.m. Occasional evening and weekend work may be required as job duties demand. This position requires face to face and in-person interaction and requires the incumbent to be in the office during regular office hours to access information kept on-site.
Travel
Some travel required for this position, less than 15%. Travel may be outside local area and overnight.
Required Education and Experience
- Some College or Insurance Certification or License
- Minimum five years related experience and two year’s experience within the insurance industry
- LOMA Level 1 Certification (281 & 291). Company sponsored certification required as part of initial training plan upon hire.
Preferred Education and Experience
- College or University Degree in related area
- Professional Industry Designations i.e., FLMI, CLU, RICP, FIC, LUTCF
- Bilingual (English/Spanish)
- Minimum two year’s experience with Catholic Life Insurance
