The patient coordinator acts as a liaison during patient encounters by utilizing office policies and procedures. Greets each patient in a friendly manner and verifies that each patient’s demographic and insurance information is correctly entered into the Practice Management System, MacPractice.
He/she’s responsible for all the telephone calls to the office, being the first encounter patients have with the Capital Center. Have a positive and professional tone of voice before the fourth ring and direct or resolve the call appropriately in order to ensure each call is handled efficiently.
Patient coordinators are responsible for the continuity of care for patients by utilizing the MacPractice integrated functions to include: recalls, confirmations, waitlists, and online/virtual consultations.
As they are the main point of interaction of Capital Center, they interact with practice employees, physicians, and others by obtaining and communicating essential data and assisting other team members to coordinate efficient patient flow through the surgical center.
- Ensure patient care is maintained at optimal levels.
- Delivers an exceptional customer experience to every patient.
- Verifies HIPAA Compliance across the organization.
- Prepares consent forms and care slips for same-day treatment.
- Identify needs and create systems and protocols that align to enhance the team’s efficiency and effectiveness.
- Access insurance company's website to verify patient's insurance policy
- Assists the front office in answering and directing calls.
- Creating appointments/scheduling new patients and existing patients
- Assists with creating virtual/online appointments.
- Meeting agenda preparation, taking meeting minutes, processing invoices or/and pay orders.
- Send daily internal communications including relevant news, write and disseminate morning email alerts for staff.
- Collects payments from patient’s after consultations and post the treatment in the system
- Collects payments from patient’s prior to surgeries and posts the treatment in the system
- Calls and follows-up with patients on the recall list and have the patient schedule their next appointment
- Calls to confirm patient’s appointments one week ahead of time
