Job Summary:
The Arizona Barbering and Cosmetology Board Office Manager works under the direct supervision of the Executive Director
to provide leadership and direction to execute financial, operational, and strategic initiatives.
This includes responsibility for budget and fund accounting, operations forecasting and planning, and facilities management.
This Office Manager works with leadership to identify and avoid liabilities, risks, and/or compromise service for clients.
This position may be available for remote work within Arizona (# days per week in the office/hoteling). Tuesday & Wednesday (in-office).
Job Duties:
- Provide oversight & management of accounting, finance, data analytics, information and reporting; A/P; purchasing & facilities
- Analyze the performance of procurement activities against various procurement indicators
- Plan, organize, and assign work, establish priorities, & ensure realistic completion schedules are developed, documented & communicated to all stakeholders
- Coach and mentor staff towards a continuous improvement culture that fosters daily improvement involving all team members
- Assist with recognizing, managing, and mitigating risk; monitor any open legal issues that affect the delivery of services, construct and monitor reliable control systems; ensure compliance with all legal and regulatory requirements; ensure record-keeping meets requirements of auditors and government agencies; report risk issues; maintain relations with external auditors and investigate their findings
- Oversee funding and monitor cash balances and cash forecasts, and related activity
- Ensure proper management of taxpayer dollars
- Ensure all reporting requirements are met in a timely manner and forecasts are completed timely
- Coordinate responses to requests for information from outside sources regarding financial management activities, including those from the Legislature and the media
- Perform management control assessments of financial system-related business processes and procedures and identify weaknesses in the design and effectiveness of internal or management controls
- Oversee facilities and fleet management and identify cost-reduction strategies for modifications or improvements
- Advocates for operational needs and manages space needs in accordance with budget and staffing projections

Selective Preference(s):
- Bachelor's degree in accounting, finance, economics, business, public administration, or related field and 3 years experience managing the budget/finances of a complex organization; OR 1 year as an Administrative Services Officer in Arizona State Gov't
- Two years of additional work experience noted above substitutes for the Bachelor's degree
