As a Human Resources Coordinator, you will serve within our ministry by providing support to all efforts relating to attracting and retaining top talent._
Essential Duties and Responsibilities:

New Employee Onboarding:*
- Coordinate all pre-employment processes following job offer acceptance
- Prepare and distribute employment documentation, including offer letters, and necessary forms
- Initiate and follow up on pre-employment checks, such as background screenings, reference checks, and drug tests
- Use the Asana task management system to track new hires and complete all onboarding/first-day tasks
- Serve as a point of contact for new hires, addressing their inquiries and providing support
- Collaborate with IT and hiring managers to ensure new hires are equipped and prepared for the first day of work
- Lead new hire first-day onboarding session and review relevant information
- Maintain the onboarding section of the HR Manual to ensure it is up to date

Recruiting:*
- Create requisitions for all open positions in the Applicant Tracking System
- Assist with initial resume screening to identify qualified candidates for lower-level positions
- Manages the career site and Indeed which includes adding, removing, or editing job postings
- Communicates job openings via email to all staff members
- Represent the organization at job fairs and other recruitment events

Process Management and Compliance:*
- Manage the I-9 process, collecting and processing documents in the HR system or ensuring accurate processing by hiring managers
- Complete (personnel action forms) PAFs as needed
- Complete separation notices for departing employees
- Quarterly, reviews Panel of Physicians quarterly to ensure compliance

Training:*
- Manages the scheduling, registration, and completion of training sessions including NEO
- Maintains employee checklists (onboarding and training) to ensure 100% completion rates+
- Assist with the coordination of materials for employee training
- Manages logistics such as lunch orders for training sessions

Employee Recognition:*
- Manages employee recognition program and communication to staff
- Manages employee milestone recognition at all staff gatherings
- Communicates staff promotions

General Office:*
- Manage the front desk and related duties such as addressing inquiries via phone calls and walk-ins, providing assistance and information
- Manage the collection and distribution of HR-related mail
- Maintain and update the organizational chart and position descriptions as necessary
- Ensure accuracy and update the telephone directory and email distribution lists
- Handles package deliveries, ensuring proper distribution
- Procure office supplies and business cards as needed
- Complete Verification of Employment requests
- Code invoices and reconcile credit card statement
- Maintain and organize both electronic and paper HR files
- Oversee the distribution and management of parking passes
- Manage all HR related Intranet content

Position Requirements:
- At least one year of experience in a business or ministry setting
- Strong organizational skills with attention to detail
- Ability to multitask and prioritize tasks
- Knowledge of HR practices, employment laws, and regulations, especially concerning I-9 documents
- Proficiency in Computer applications
- Customer-service orientation
- Ethical conduct and ability to handle confidential information with discretion

Physical Requirements:*
- Must have the ability to remain in a stationary position (standing, sitting and/or walking)
- Must have the ability to constantly operate a computer and other office equipment, such as
- a copy machine, calculator and computer printer
- Must be able to distinguish tastes and smells
- Must be able to occasionally lift up to 25lbs
