Position Overview: The Open Door, Inc. is seeking a meticulous and dedicated Data Specialist to join our team. The Data Specialist will play a critical role in managing, analyzing, and reporting data to support our programs and initiatives. Additionally, this position will be responsible for completing enrollments and evaluations with participants to ensure accurate data collection and to help measure the impact of our programs.
Key Responsibilities:
Data Management:
- Collect, organize, and maintain accurate data records for all program participants.
- Ensure data integrity and accuracy through regular audits and quality checks.
- Maintain and update databases and data systems as required.
- Develop and implement data collection systems, and other strategies that optimize statistical efficiency and data quality.
- Develop and implement enrollment/intake processes, and other strategies that optimize & increase efficiency, improve user experiences, and reduce errors. This includes, but is not limited to the following: Implementing user friendly trauma informed forms for enrollment and intake; Ensuring they are mobile-friendly and accessible; Automated Workflows - Using workflow automation tools to route applications to the appropriate staff automatically; Data Integration - Integrating systems to ensure data flows seamlessly between enrollment, intake, and other relevant systems; Templates and Checklists - Using templates and checklists to ensure all necessary steps are followed while providing clear instructions for applicants to minimize confusion and errors; Multichannel Communication - Using email, SMS, and phone notifications to keep applicants informed about their application status.
- Maintain confidentiality and HIPPA guidelines of participants, staff, and internal records and affairs of The Open Door, Inc.
Data Analysis and Reporting:
- Analyze data to identify trends, patterns, and insights that support program evaluation and improvement.
- Prepare comprehensive reports and presentations for internal and external stakeholders.
- Assist in the development and maintenance of dashboards and other visualization tools to communicate data findings effectively.
- Collaborate with the Program Director and other team members to develop data-driven strategies for program improvement.
Participant Enrollment and Evaluation:
- Complete enrollments for new participants, ensuring all required documentation is collected and processed accurately.
- Conduct initial and follow-up evaluations with participants to assess program effectiveness and participant progress.
- Collect qualitative and quantitative data from participants through surveys, interviews, and other evaluation tools.
- Provide support and guidance to participants throughout the enrollment and evaluation process.
Collaboration and Communication:
- Work closely with program staff to understand data needs and provide timely and relevant data support.
- Communicate complex data findings in a clear and concise manner to non-technical stakeholders.
- Participate in team meetings and contribute to the ongoing development of program strategies and goals.
- Function as a team-member, share in other responsibilities as required.
Harm Reduction:
- Implement harm reduction strategies to support clients in making safer choices regarding substance use and other high-risk behaviors.
Client Advocacy:
- Advocate on behalf of clients to ensure they receive necessary support from various agencies and service providers.
Additional Requirements and Qualifications:
- Five years’ experience in the social services field. Associate or bachelor’s degree preferred.
- Knowledge of and adherence to harm reduction and housing first practices.
- Significant work and/or life experience of issues related to drug use, mental illness, HIV/AIDS, transgender issues, and cultural competency.
- Ability and willingness to work independently, self-start, and be firsthand to creatively solve problems as they arise.
- Ability to handle multiple projects, prioritize, and meet deadlines.
- Proven experience in data management, analysis, and reporting, preferably in a non-profit or social services setting.
- Proficiency in data analysis tools and software (e.g., MS Office Suite, Google Suite Excel, etc.).
- Strong organizational skills with a keen eye for detail and accuracy.
- Excellent interpersonal and communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Experience in participant enrollment and evaluation is highly desirable.
