Job Description:
We are seeking a dedicated Administrative Assistant/Bookkeeper who will play a key role in maintaining our financial records, handling administrative tasks, and supporting our team’s daily operations. The ideal candidate will have a strong background in accounting and administrative support, exceptional organizational skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Maintain and update financial records, including ledgers, accounts payable/receivable, and payroll.
- Process invoices, receipts, payments, and other financial transactions.
- Reconcile bank statements and ensure accurate record-keeping.
- Assist in the preparation of financial reports and statements.
- Provide general administrative support, including answering phones, managing correspondence, scheduling appointments, and maintaining office supplies.
- Organize and maintain files and records, both physical and digital.
- Assist with budget preparation and financial planning processes.
- Coordinate and support company events, meetings, and travel arrangements.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- Proven experience as a bookkeeper or in a similar administrative role.
- Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Word, Excel, Outlook).
- Strong understanding of bookkeeping principles and financial regulations.
- Excellent organizational and time-management skills.
- Attention to detail and accuracy in data entry and financial reporting.
- Strong communication skills, both written and verbal.
- Ability to handle confidential information with integrity and discretion.
- Ability to work independently and as part of a team.
