We are seeking an Operations Assistant who embodies confidence, leadership, and critical problem-solving. As the right-hand person to our Operations Manager, you will be responsible for providing comprehensive administrative and operational support. This role requires excellent organizational skills, attention to detail, discretion, strong communication skills, and the ability to manage multiple tasks efficiently. The Operations Assistant will handle sensitive information with confidentiality and professionalism.
This is a remote, hourly Independent Contractor position requiring up to 10 hours per week with daytime availability to respond to communication and take meetings during regular business hours in the US. There is an opportunity for increased hours throughout our partnership if we are a great fit for each other.
The Operations Manager will be on maternity leave from the end of September through early January. The Operations Assistant will be responsible for covering some of the Operations Manager’s areas of ownership during her maternity leave and increased hours will be needed during this timeframe.

Duties/Responsibilities:
- Work closely with the Operations Manager to oversee daily business operations
- Support with podcast organization and metrics tracking using Libsyn, Monday.com, and Google Drive
- Assist with online course administrative tasks and metrics tracking using MemberVault, ThriveCart, and Google Drive
- Schedule emails, capture metrics, and help manage ConvertKit landing pages, tags, and subscribers
- Schedule blog posts in WordPress via the Elementor Editor
- Support the Operations Manager and Client Success Manager with moving internal operations items from ClickUp to Monday.com
- Assist with cleaning up and organizing systems such as Canva, Google Drive, Dropbox, LastPass, ConvertKit, WordPress, and others
- Support the Operations Manager and CEO with building out new lead magnet funnels, and then managing and tracking metrics
- Organize business financial documents such as filing monthly bank statements and credit card receipts
- Support the Operations Manager and Client Services Manager with Human Resources administrative and organizational tasks
- Assist in removing roadblocks and bottlenecks on projects
- Assist in document preparation for meetings, presentations, and communications
- Ensure processes and SOPs are up-to-date, organized, and accessible
- Provide backup support to Operations Manager, Client Services Manager, and CEO as needed
- Other duties as assigned
Required Skills/Qualifications:
- 3+ years of proven experience as an operations assistant or in a similar administrative role
- Tech-savvy with strong organizational and time management skills
- Excellent written and verbal communication skills
- Resourceful problem-solver who proactively initiates
- Discretion and the ability to maintain confidentiality
- Proven ability to work independently and collaboratively in a fast-paced environment
- Stable internet connection and computer
- Experience working with consulting businesses, nonprofits, and/or online courses, a plus
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer
Schedule:
- Remote - Hourly position, up to 10 hours per week, with opportunity for additional hours
- Must have some alignment with the following schedule for meetings/live communications with the Operations Manager: Mondays & Tuesdays: 9:30am-3pm Eastern. Wednesdays, Thursdays & Fridays: 9am-1pm Eastern
Logistics:
- Compensation is competitive and commensurate with experience.
- This is an independent contractor position.
- You must be available to respond to communication and take meetings during regular business hours in the US.
- You have your own computer, mobile phone, and reliable internet access.
- You maintain a workspace free of unnecessary distractions where internal calls may be taken in a professional manner.
- You are able to be on video chat for scheduled meetings.
Compensation:
This is an independent contractor position. The hourly rate range is $25-$30 USD.
