Donor Events Coordinator
Are you passionate about the Arts? Do you have experience in planning and executing successful events? If yes, you would be the perfect candidate for the Donor Events Coordinator position at Saint Louis Ballet.
This is a part time, remote, contract position, averaging 10-15 hours a week from September through December, and increasing to 20-30 hours per week beginning in January and leading up to the largest event of the year, the Spring Gala on April 12, 2025 at the Chase Plaza Hotel in St. Louis, MO.
As the Donor Events Coordinator, you will work closely with the Director of Donor Relations and the Executive Director to plan and execute donor events from conception to completion.
These events range in size from 20 to 250 for a Fall Donor Reception (October), 3 Sugar Plum Fairy (Nutcracker) receptions held in November and December, the Gala Kickoff held in February and the Spring Gala being held in April every year.
Responsibilities include:
- Working with established vendors, and identifying new vendors as needed to provide best possible service within event budget.
- Communicating with and coordinating all vendors throughout the planning process to ensure successful execution of all events.
- Provide on-site management as main point of contact at all events from set up through event completion.
- Collaborate with Marketing Director to assist with the development of marketing collator such as event website, email blasts, event invitations and other communication to assist in reaching event attendance goals.
- Participate in planning meetings with Gala Chairs, Gala Committee, Director of Donor Relations and Executive Director to ensure Gala timeline and goals are on track.
The successful candidate with have:
- Bachelor’s degree in a related field or equivalent experience.
- At least two years of experience in event planning and management, preferably in a non-profit or arts organization.
- Excellent communication, interpersonal, and organizational skills.
- Ability to work independently and collaboratively with a variety of stakeholders.
- Creativity, attention to detail and problem-solving skills.
- Proficiency in Microsoft Office; some experience with donor database software and email marketing tools desired.
