We are seeking a highly organized and proactive Office Administrator to join our team. The successful candidate will be responsible for processing orders, managing delivery routes, handling accounts receivable, and performing various administrative tasks to ensure the smooth operation of our office.
Responsibilities
- Accurately enter and process customer orders in a timely manner.
- Coordinate with the sales team to ensure order accuracy and completeness.
- Monitor order status and communicate updates to customers.
- Plan and optimize delivery routes for efficiency.
- Coordinate with delivery personnel to ensure timely and accurate deliveries.
- Resolve any issues related to deliveries promptly.
- Generate and send invoices to customers.
- Monitor accounts receivable and follow up on outstanding payments.
- Reconcile accounts and resolve discrepancies.
- Answer phone calls and respond to emails.
- Maintain organized and accurate records and files.
- Assist with scheduling and coordinating meetings.
- Perform general office duties such as filing, copying, and ordering supplies.
Skills
- Proven experience as an office administrator, office assistant or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office and QuickBooks
- High school diploma required; BSc/BA in office administration or relevant field is preferred
