We are seeking an experienced Office Manager to ensure smooth day-to-day operations and maintain the highest quality of service.
Key Responsibilities:
- Planning & Organizing: Lead and influence clinic activities and service delivery, maintaining continuous quality improvement.
- Budget Management: Ensure operations stay within budgetary parameters.
- Workflow Efficiency: Interact effectively with staff and contractors to maintain a smooth workflow.
- Personnel Management: Handle day-to-day management of personnel, including staffing, timekeeping, employee evaluations, counseling, and interviewing.
- HR & Accounting Duties: Oversee administrative HR duties and manage company accounting functions.
- Employment Processes: Manage the administrative aspects of employment applications, interviewing, hiring processes, and reference checks.
- Accounts Payable: Oversee accounts payable, including payroll for staff and contractors, timely filing of vendor and service provider invoices, and expense vouchers.
- Training Management: Ensure all training materials are provided to new employees and maintain records of training in employment files.
- HR Point of Contact: Serve as the initial point of contact for HR and employee relations matters.
- Report Management: Run and manage various daily, weekly, and monthly EMR reports.
- Office Operations: Oversee general office operations and provide reports to management.
- Scheduling: Coordinate appointments and schedules, managing staff calendars.
- Inventory Management: Manage filing systems and office supplies, and keep inventory of orders.
- IT Infrastructure: Maintain the office IT infrastructure.
- Staff Interactions: Oversee staff interactions and respond to queries on office management issues.
- Compliance & Policies: Ensure compliance training and update office policies and procedures.
- Event Planning: Plan in-house or off-site activities of the organization.
Qualifications:
- Proven experience as an Office Manager or in a similar role.
- Excellent organizational and leadership skills.
- Proficient in office management software (e.g., MS Office, Slack, Trello).
- Strong communication and interpersonal skills.
- Knowledge of healthcare operations and EMR systems is a plus.
- Ability to multitask and prioritize workload in a fast-paced environment.
- High level of discretion and confidentiality.
