Job Summary:
The Executive Assistant will provide high-level administrative support to the Managing Partner.
This position is based in NJ. Applicants must reside in NJ
Duties/Responsibilities:
- Provides high-level administrative support and assistance to the Managing Partner.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
- Maintenance of highly confidential information.
- Schedules and attends meetings on behalf of the Managing Partner, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of senior staff, reviews contents to determine the importance, and summarizes and/or distributes contents to appropriate staff.
- Coordinating and assisting in gathering resources and information for meetings and presentations; preparing reports and presentation materials.
- Resolving problems independently, relieving the Managing Partner of matters of detail, drafts, and initiating correspondence.
- Coordinating with In/ Out patient providers.
- Obtaining and managing correspondence, screening all incoming calls, mail and visitors; handling or redirecting contacts and communications not requiring the immediate and personal attention of the administrators
- Managing calendars, office and home, and using sound judgment in determining priorities and overseeing all engagements, including travel schedule.
- Performs other related duties as assigned
Required Skills/Abilities:
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and at times stressful environment
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Ability to work independently and as a team member; self-motivated, outgoing and results oriented.
- Extremely proficient with Google Suite or similar software
- Proficiency in modern and futuristic software example AI
Education and Experience:
- Bachelor's degree in Business Administration or related field required
- At least four years of related experience is required.
