Job Summary
As an operations administrator, you will be responsible for providing administrative support to ensure efficient operation of the organization. Your duties will include coordinating and facilitating various administrative tasks, managing office supplies, assisting with human resources activities, and handling day-to-day operational needs.
Responsibilities:
1. Administrative Support: Provide administrative assistance to ensure smooth operation of the office. This includes managing correspondence, scheduling meetings, and handling phone calls.
2. Office Management: Oversee office operations such as maintaining office equipment, managing office supplies, and ensuring cleanliness and organization.
3. Human Resources Assistance: Assist the HR department with various tasks including employee onboarding, maintaining employee records, and coordinating HR-related activities.
4. Financial Administration: Support financial processes by assisting with invoice processing, expense tracking, and other financial tasks as required.
5. Data Management: Maintain accurate and up-to-date records and databases, ensuring data integrity and confidentiality.
6. Coordination: Coordinate with various departments to ensure smooth communication and collaboration across the organization.
7. Project Assistance: Provide administrative support for various projects, including coordinating meetings, preparing documents, and tracking project progress.
8. Troubleshooting: Address operational issues and concerns as they arise, and escalate them to the appropriate personnel when necessary.
9. Compliance: Ensure compliance with organizational policies and procedures, as well as relevant regulations and laws.
10.Continuous Improvement: Identify opportunities for process improvement and efficiency enhancement, and contribute to the implementation of best practices.
Qualifications:
- Bachelor's degree in business administration, operations management, or a related field preferred.
- Proven experience in administrative support roles, preferably in an operations or similar environment.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Attention to detail and accuracy in work.
- Ability to work independently as well as part of a team.
- Knowledge of relevant laws and regulations pertaining to operations and administration is a plus.
