Position: Personal Assistant (On-Call)
Hours: 8 hours per week, on-call/flexible hours
Location: NYC
Compensation: $4,800 annual pay
About the Role:
We are seeking a highly organized and proactive Personal Assistant to support a busy artistic executive with various personal and professional tasks. The ideal candidate will work on-call for up to 8 hours a week, ensuring that tasks and priorities are organized, reports are compiled efficiently, communications are managed seamlessly, and schedules are kept on track.
Key Responsibilities:
- Task Organization and Prioritization:
- Assist in organizing and prioritizing tasks across multiple ongoing projects.
- Maintain and update task lists and ensure all deadlines are met.
- Report Compilation:
- Compile progress reports based on data from various sources.
- Summarize key points and provide actionable insights.
- Communication Management:
- Manage email correspondence, including drafting and responding to emails as directed.
- Coordinate communications between various stakeholders and team members.
- Scheduling and Calendar Management:
- Keep track of appointments, meetings, and events.
- Ensure schedules are up-to-date and notify the executive of any changes.
- General Administrative Support:
- Handle miscellaneous administrative tasks as required.
- Provide reminders and follow-ups on important tasks and deadlines.
Qualifications:
- Experience:
- Proven experience as a personal assistant, executive assistant, or similar role.
- Experience in managing schedules, communications, and administrative tasks.
- Skills:
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency with Google Workspace (Docs, Sheets, Calendar).
- Ability to handle sensitive and confidential information with discretion.
- Attributes:
- Highly proactive and able to work independently.
- Detail-oriented with a strong focus on accuracy.
- Flexible and adaptable to changing priorities and schedules.
- Reliable and punctual with a strong work ethic.
