Job Opening: Receptionist
We are seeking a dynamic and friendly Receptionist to manage our front desk and perform a variety of administrative and clerical tasks on a daily basis. As the first point of contact for our company, you will play a crucial role in creating a welcoming environment and ensuring smooth front-desk operations.
Key Responsibilities
- Welcome and Greet Guests: Receive visitors warmly as soon as they arrive and direct them to the appropriate person or office.
- Handle Communication: Answer, screen, and forward incoming phone calls. Provide basic and accurate information in-person, over the phone, and via email.
- Maintain Reception Area: Ensure the reception area is tidy and presentable, equipped with all necessary stationery and materials (e.g., pens, forms, and brochures).
- Manage Correspondence: Receive, sort, and distribute daily mail and deliveries.
- Supplies Management: Order front office supplies and maintain an inventory of stock.
- Calendar and Meeting Management: Update calendars, schedule meetings, arrange travel and accommodations, and prepare vouchers.
- Administrative Support: Keep updated records of office expenses and costs. Perform clerical duties such as filing, photocopying, transcribing, and faxing.
Required Skills and Qualifications
- Experience: Proven work experience as a Receptionist, Front Office Representative, or a similar role.
- Technical Proficiency: Proficiency in Microsoft Office Suite
- Communication Skills: Excellent written and verbal communication skills.
- Organizational Skills: Strong organizational skills, with the ability to multitask and manage time effectively.
- Professionalism: A professional attitude and appearance.
- Resourcefulness: Ability to be resourceful and proactive when issues arise.
- Customer Service: A positive customer service attitude.
Educational Requirements
- Education: High school diploma is required; additional certification in Office Management is a plus.
This role may require working in shifts, so flexibility is essential.
