Position Summary: The Assistant Program Director is responsible for the overall day to day operations of the administrative and social services component of the Circle of Friends Adult Day Care center. The Assistant Program Director will provide oversight of program activities and staffing, supervise, train and evaluate up to 35 staff, and ensure adherence to compliance and regulation standards. Applicants must speak and understand Russian.
About Circle of Friends: A center that supports the health, nutritional, social and daily living needs of adults in a professionally staffed and friendly group setting. The staff works daily to ensure that the adults are gaining socialization and recreation within the community that they and their families desire. The position involves working with the participants to create goals and to make sure their time at the center is rewarding. Individual seeking this position will gain experience that helps them understand the geriatric population and assists them in creating fulfilling relationships with staff and participants.
Responsibilities:
- Provide programmatic and administrative support to the Program Director and Supervisors of the Adult Day Care Center
- Complete and submit required paperwork on a timely basis
- Provide quality customer service to members, as well as accurate and timely information about the program
- Facilitate the organization of documents
- Perform additional duties and projects as assigned by management
- Administrative/clerical support services
- Prepare and edit correspondence, communication and other documents
- Monitoring and tracking of external/departmental communications including phone messages, faxes and emails
- Assist in preparing monthly reporting requirements and services coordination
- Assist in the development and implementation of ongoing staff training
- Perform personnel management support functions, such as tracking training, education and licensing completion and renewal dates as well as maintaining departmental employee information
- Assist with the management of participant files and records
- Assist with admission process and documenting social services evaluation, including identification of participant problems/needs
- Assist in ensuring adherence to HCBS compliance and regulation standards
- Qualifications:
- Bachelor’s degree with at least two years relevant experience. Preferred college course work in sociology, psychology, gerontology, or social work but willing to teach the right person
- Must be at least 21 years of age
- Bilingual: Must read, write, speak and understand English. Must speak and understand Russian
- Previous experience in a healthcare setting required
- Knowledge of standard office administrative practices and procedures
- Excellent organizational skills with ability to work under deadline pressure
- Good oral and written communication skills
- Computer literacy: MS OFFICE but requiredWord Processors (MS Word), Spreadsheets (MS Excel)
- Interest in and appreciation of older adults and chronically ill individuals. Positive, pleasant, and understanding attitude.
