Position Overview:
We seek a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will provide administrative support to various departments within the company, assist with day-to-day operations, and ensure smooth workflow. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.
Responsibilities:
- Manage incoming calls, emails, and other correspondence, directing them to the appropriate person or department.
- Schedule and coordinate meetings, appointments, and travel arrangements for executives and other team members.
- Prepare and distribute internal and external documents, including memos, reports, and correspondence.
- Maintain and update filing systems, databases, and records, ensuring accuracy and accessibility.
- Order and maintain office supplies and equipment, keeping track of inventory levels and reordering as necessary.
- Assist with organizing company events.
- Provide general administrative support to the team, such as photocopying, scanning, and filing documents.
- Handle confidential information with discretion and professionalism.
- Perform other duties as assigned by management to support the overall goals of the company.
Requirements:
- A high school diploma or equivalent.
- Proven experience as an administrative assistant or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Detail-oriented with a high level of accuracy.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion and confidentiality when handling sensitive information.
- Positive attitude and willingness to learn and adapt in a fast-paced environment.
THE POSITION IS FULL-TIME/PERMANENT WITH HOURS BETWEEN 7:00 A.M. AND 4:00 P.M., MONDAY THROUGH FRIDAY.
