Position Summary/Purpose
Thirty-five-year-old local company involved in warehouse and materials management adding a high-performance team member to drive office and facility workflow oversite. This position will utilize industry specific software to coordinate accounting functions with QuickBooks, along with leading human resources, training, and DOT operations scheduling functions to support organizational growth. Come be the heartbeat of our organization and lead customer and employee culture through communication and response to inquiries.
Primary Duties and Responsibilities
- Supports company operations by maintaining office systems and coordinating facility and logistics staff.
- Provides administrative leadership through effective logistics/operations scheduling, coordinating reporting and procedural oversight, preparing payroll, reviewing and approving AP/AR, and assigning and monitoring process functions.
- Oversees ongoing data control into accounting software, establishes reconciliation and period closure deadlines.
- Management of payables, check preparation, account reconciliations, cost of goods and manufacturing review.
- Completes operational requirements by scheduling and coordinating logistics schedules, following up on work results.
- Provide integrated metrics and reports to the leadership team. Key observer to improvement process opportunities. Answer phone and coordinate incoming calls.
- Prepare business correspondence.
- Accurately prepare and file industry and regulatory forms.
- Accurately prepare customer work orders, receiving tickets, and outbound bill of ladings and invoices.
- Administer human resource functions including orienting and training of new employees.
Additional Duties and Responsibilities
- Participate in key projects through data research/review and reporting, workflow analysis, and staff support.
- Assist in collecting receivables and vendor reconciliation issues.
- Assist in development of strategic goals.
- Internet listing experience helpful.
- Other duties as assigned.
Experience
· Proven experience in office management or oversight
· Strong verbal and written communication skills, solid work ethic, and desire to achieve results.
· Knowledge of standard accounting principles, with QuickBooks proficiency.
· Ability to work with various departments to achieve objectives.
