Business Assistant Job Description
Overview:
New West Charter is an award-winning 6-12th grade independent charter school in Los Angeles, California. Our school attracts a diverse student population from all over the area, focuses on academics, and builds confidence through the arts and athletics. We are seeking a dedicated and experienced Business Assistant to assist the CBO.
Reporting Responsibilities: Reports Directly to the Chief Business Officer
Job Duties
Under the direction of the Chief Business Officer, the Assistant Business Administrator will provide essential support in managing the business administration functions of the school, to ensure efficient and effective fiscal operations.
Duties/Responsibilities:
· Provide administrative support to the Chief Business Officer
· Support Chief Business Officer with ad-hoc financial projects and tasks as needed.
· Ensure compliance with established fiscal procedures
· Assist with processing invoices, purchase orders, and expense reimbursements in accordance with established fiscal procedures.
· Organize accounts payable and accounts receivable transactions accurately and in a timely manner.
· Assist with month-end and year-end financial closing procedures.
· Monitor each school site office supply inventory and coordinate with lead office administrator on monthly orders
· Process Amazon and Staples orders
· Receive, verify, and distribute shipments/orders
· Receive and distribute school mail
· Organize packing slips for all deliveries
· Supply and replenish fiscal forms for each school sites
· Provide fiscal support to Afterschool Program – generate monthly invoices and process payments
· Assist with fiscal management of schoolwide fundraisers (Million Dollar Wall Campaign, Give Love & Thanks, etc.)
· Assist with fiscal management of Outdoor Adventure Trips, Senior Activities, Athletic Program Activities, Dance Concerts, etc.
· Maintain business/fiscal filing systems and databases, ensuring accuracy and accessibility of records.
· Weekly bank deposits at school bank.
· Provide assistance with audit reviews, providing documentation and support as needed
· Maintain confidentiality of highly sensitive information and handle confidential documents with discretion.
· Support efforts to establish and maintain a culture of compliance and ethical conduct
Qualifications:
· Bachelor’s degree in Business Administration, Accounting, Finance or school business administration experience, in a similar role, preferably in an educational or nonprofit organization.
· Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
· Attention to detail and accuracy in recordkeeping and data entry.
· Proficiency in Microsoft Office Suite (Excel, Word, etc.) and experience with financial software or databases.
· Excellent communication and interpersonal skills, with the ability to work effectively in a team environment.
· Willingness to learn and adapt to changing priorities and procedures
· Commitment to upholding ethical standards and promoting a positive work culture.
Working Conditions:
· This position typically operates in an office environment within an educational institution. Occasional lifting and moving of boxes or materials may be required during inventory management or receiving of shipments. Interaction with vendors. Occasional interaction with parents and vendors.
Job Types: Full-time, Contract
Pay: $17.00 - $25.00 per hour
