Job Title: Facilities Coordinator
Reports To: Facilities Administrator Supervisor
As a Facilities Coordinator, you will be a key member of our facilities management team, responsible for providing essential support to ensure the smooth operation and maintenance of our organization's facilities. Your primary role will involve coordinating various facility-related tasks, managing resources, and assisting with day-to-day operations. You will collaborate with internal teams, external vendors, and contractors to ensure a safe, functional, and comfortable work environment for employees and visitors.
Responsibilities:
Maintenance and Repairs Coordination:
- Assist in scheduling and coordinating routine maintenance activities for all facilities, including HVAC systems, electrical equipment, plumbing, and general repairs.
- Liaise with maintenance staff, vendors, and contractors to ensure timely resolution of facility issues and repairs.
- Maintain accurate records of maintenance schedules, work orders, and associated costs.
Vendor and Contractor Management:
- Obtain quotes and proposals from vendors for facility-related services and supplies.
- Maintain vendor relationships and assist in negotiating contracts to achieve cost-effectiveness and high-quality service delivery.
- Process invoices and reconcile billing discrepancies in a timely manner.
Health and Safety Compliance:
- Assist in implementing and enforcing safety protocols, procedures, and guidelines to maintain a secure work environment.
- Support regular safety inspections and audits, ensuring adherence to local regulations and building codes.
- Collaborate with the facilities team to conduct emergency preparedness drills and ensure employees are familiar with safety procedures.
Communication and Documentation:
- Respond promptly to facility-related inquiries and requests from employees, addressing concerns or escalating issues as needed.
- Maintain accurate records and documentation related to facility operations, including maintenance logs and service contracts.
- Assist in preparing reports and presentations on facility-related matters for management.
Qualifications:
- High school diploma or equivalent; additional education or certification in facilities management or related field is a plus.
- Proven experience in facilities coordination or a similar administrative role.
- Basic knowledge of facility operations, maintenance, and safety practices.
- Strong organizational and problem-solving skills.
- Proficiency in using computer applications, including MS Office and facilities management software.
- Effective communication and interpersonal skills to work collaboratively with employees, vendors, and contractors.
- Ability to handle multiple tasks simultaneously and work independently with minimal supervision.
- Restaurant operations experience is a plus
- Experience with Corrigo CMMS is a plus
- Occasional travel and work out of town may be requested
- Ability to work and be on-call at nights and/or weekends
