Purpose
Waco Foundation is a charitable organization with over $130 million in assets that provides grants and other charitable services in McLennan County, Texas.

· Bachelor's degree in accounting from an accredited college or university is required; CPA is preferred;

Work Hours: Office hours areMonday through Friday 9:00 a.m. to 5:00 p.m. with a one (1) hour lunch. The Foundation offers a very a flexible schedule. Employees may earn the ability to work from home up to two days per week.
Job Structure:
The work responsibilities will include, but are not limited to, the following:
High-Level Accounting Responsibilities (40%)
· Reviewing and editing financial and accounting documents, reports and statements to ensure accuracy, completeness and compliance with generally accepted accounting principles, current charitable tax law, and National Standards accreditation;
· Preparing monthly financial reports for the Executive Director and Board of Trustees;
· Maintaining the Foundation’s accounting system and the books for WF Assets, Inc., a public supporting organization of Waco Foundation;
· Managing the accounting for all funds, monitor disbursements and prepare monthly fund statements for fund representatives;
· Preparing manual fund statements as requested by fund representatives or agency auditors;
· Monitoring the management of the Foundation’s oil and gas properties;
· Regularly reviewing cash needs and ensure funds are available for operations as needed;
· Coordinating annual audit and serve as liaison between auditors and Audit Committee;
· Updating written financial management policies and operating procedures;
· Co-Supervising a support staff, along with the Senior Director of Communications and Donor Services, in general office functions: preparation and mailing of all gift acknowledgement letters, memorial cards and donor advised grantee letters; mailing of quarterly fund statements to fund representatives;
· Preparing consent agenda items for bi-monthly board meetings;
· Overseeing file maintenance on all brokerage accounts and money managers and updating signature authority information on all investment accounts as needed;
· Preparing the annual 990 forms for Waco Foundation and WF Assets, Inc.; and
· Facilitating the preparation of Form 990-T, as required.
General Bookkeeping (10%)
· Posting donations received;
· Posting accounts payable and grants payable and processing checks for such payables;
· Maintaining depreciation schedules and preparing general journal entries for depreciation and accrued expenses;
· Reviewing and approving monthly bank statements and reconciliations;
· Supervising support staff in bookkeeping functions;
· Completing annual self-certification documents for investments as requested; and
· Implementing any actions needed to comply with investment management changes (opening and closing of accounts, transfers, etc.)
Human Resources (5%)
· Coordinating the Foundation’s employee payroll and retirement plan benefits:
o Enrolling new employees into and answer existing employees’ questions about the 401(k) retirement plan;
o Working with 401(k) plan administrator regarding enrolling eligible staff into the retirement plan;
o Processing semi-monthly payroll in conjunction with payroll service provider; update employee changes to payroll deductions; and
o Processing semi-monthly employee contributions and quarterly employer contributions to the Foundation’s retirement plan.
· Managing the Foundation’s HR contracts and implementing all policies and practices, including but not limited to:
o Reviewing and implementing employee handbook, personnel and technology usage policies;
o Onboarding and Offboarding employees (i.e., new hires and student workers);
o Maintaining I-9 verification, confidentiality agreements and conflict of interest & duality of interest forms for employees and Board Members; and
o Updating forms, posting information and informing employees of changes.
· Coordinating the Foundation’s employee benefits package, including but not limited to:
o Assessing current and future benefits programs and implementing changes;
o Enrolling new employees and answering existing employees’ questions about insurance and 401(k) retirement plan and benefits; and
o Assisting insurance and 401(k) plan administrators with ongoing needs for staff changes.
Technology & General Office Support (30%):
· Provide management and administrative support to Foundation staff in the areas of technology and general office operations through:
· Managing the Foundation’s technology consulting contracts and providing general oversight and support for the day-to-day functioning of the Foundation’s technology infrastructure;
· Coordinating network system upgrades with managed service providers;
· Implementing the Foundation’s technology plan, including regular assessment of current and future needs;
· Managing the Foundation’s records management system, including but not limited to; electronic files containing fund documents, donor & grant correspondence, gift contracts, vendor files, bank/investment accounts, tax records, human resources files, and Board of Trustees committees and governance information;
· Assisting in initiating user accounts and technology access for new hires and student workers;
· Facilitating and supporting the review, negotiation, and maintenance of vendor and technology contracts;
· Managing the maintenance of office/technology equipment, supply inventory, office credit cards and petty cash; and
· Aiding the development and implementation of the annual technology budget.
Building Management Oversight (5%)
· Maintaining relationships with property manager regarding tenants and building issues;
· Supporting efforts to develop the building as a nonprofit hub, with a mix of tenants that is highly affiliated with the Foundation’s mission;
· Evaluating opportunities for central services that would benefit tenants and other nonprofits in the community;
· Troubleshooting building issues; and
· Advising, drafting, reviewing, and implementing policies related to the safeguarding of Waco Foundation data and property as it relates to the building.
Impact Investing (10%)
· Devoting a routine amount of annual professional development to learning about the field of Impact Investing;
· Monitoring the Foundation’s Impact Investments and providing updates to the Executive Director; and
· Seeking additional opportunities to incorporate Impact Investing into the Foundation’s portfolio and advise the Executive Director about potential opportunities on a regular basis.
