Position Description:
The Department of Surgery at the University of Louisville School of Medicine has an open position for a Department Coordinator III. The position will perform a wide range of duties to coordinate educational conferences for unit specialist to support faculty, residents, fellows, and medical students. This position prepares analytical data for research and academic metrics. The Department Coordinator III works independently on confidential administrative tasks. This position�prepares, gathers, and applies metrics for academic reports on scholarly activities. This position prepares correspondence and other material using word processing, spreadsheets, and other databases. The Department Coordinator III has direct responsibility scheduling meetings, and answering phones, and mail.
Essential Duties and Responsibilities-
Serves as coordinator of Grand Rounds Conferences, including, but not limited to, in-person attendance on Friday mornings (to assist with Zoom for virtual participation), working with the speakers to acquire all the required information on his/her presentation, and creating posters and brochures for lectureships and guest speakers throughout the year.

Maintains tools to help faculty toward annual performance evaluations and periodic career reviews.

Oversees the use of technology for video conferencing, presentation software, and other communication technologies. Serves as point person for Zoom meetings and Excel data coordination and reporting.

Organizes, coordinates, and digitizes department data collection and reporting for Academic Report Card to support program growth.

Serves as point person for library reservation scheduling.

Serves as medical transcriptionist for Department Chair and Vice-Chair of letters of support for faculty, residents, fellows, and medical students.

Individual will also sort mail for distribution.

Other duties as assigned.
Preferred Qualifications-
Experience working in an academic health care setting.

Up to 18 months of education or training beyond the high school level.

Excellent interpersonal and communication skills, including familiarity with medical terminology, academic reference citations, and higher education.

Ability to prioritize work independently.

Proficient in MS Outlook, Word, Excel, Zoom, and PowerPoint. Technical skills needed in conducting Zoom meetings, Excel spreadsheets, use of transcription devices.

Ability to handle complex and confidential information with discretion.
Target Compensation Maximum:
$27.85
Target Compensation Minimum:
$18.56
Compensation will be commensurate to candidate experience.
