Job Description:
We are seeking a highly organized and professional Secretary to join our team. The ideal candidate will be responsible for managing front office operations, greeting guests, handling phone communications, processing payments, documenting new client information, maintaining files, and assisting with light accounting tasks.
Responsibilities:
- Greet and assist guests in the reception area, ensuring a welcoming and professional environment.
- Answer incoming calls, direct them to the appropriate departments or personnel, and take messages as needed.
- Accept and process payments via phone.
- Document and manage new client information for sales purposes.
- Maintain organized filing systems for client and company records.
- Perform light accounting tasks as needed, including data entry and basic financial record keeping.
- Assist with other administrative tasks as required.
Requirements:
- High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Proven experience as a secretary or in a similar administrative role.
- Excellent verbal and written communication skills in English and Spanish.
- Proficient in MS Office (Word, Excel, Outlook) and comfortable with basic accounting software.
- Strong organizational and multitasking abilities.
- Ability to handle sensitive information with discretion and confidentiality.
- Friendly, approachable, and professional demeanor.
