Earth Systems is currently seeking an Administrative Assistant at our Fremont office.

Duties and Responsibilities:

Preparation of intermediate level documents and spreadsheets, such as inspection reports, plan review letters, etc., in accordance with corporate standards.

Preparation and/or maintenance of databases and presentations, as assigned.

Administration of contracts. Provide support to projects and project staff for administrative processes, such as project set-up, processing AP and scheduling, obtaining and filing project drawings, assembling meeting minutes, assist with project closeout processes, etc.

Perform moderately complex tasks, such as processing, preparing and/or recording of business and project-related documents, assisting with permit applications, preparation of reports, etc.

Assist in maintaining office areas, supplies, and project files.

Assist in maintaining contact information for clients, contractors, regulatory agencies, etc.

Perform other administrative duties, such as reception, filing, office coverage for other NorCal offices, and other tasks as assigned.

Assist Corporate Services (HR, Safety, Marketing, IT) with disseminating and communicating announcements.

Run office and project-related errands, as required.
Education and Qualifications:

High school diploma required. Associate or bachelor’s degree preferred.

Proficient in MS Office, including Word, Excel, PowerPoint, Outlook, and Adobe Acrobat Standard.

The expected starting pay range for this position is $25-30 per hour. Exact rate is dependent on several factors such as experience, skills, education/certifications, and geographic location.
Employment conditioned upon the satisfactory completion of a background check, review of Motor Vehicle Records, drug screening, and a medical evaluation appropriate to the position.
