Basic Function and Scope of Responsibilities:
The coordinator serves as a main point of contact for the Office of Experiential Education. Key responsibilities include managing daily program operations, triaging student and preceptor requests and needs, administering and managing the experiential education database, developing and maintaining a comprehensive experiential education program communications infrastructure, and working with other members of the administration to maintain student records and ensure that other requirements/needs are met. The overall day-to-day responsibility of the office will be shared among the coordinators, with specific responsibilities (such as one person being the primary contact for introductory pharmacy practice experiences [IPPEs] and one person responsible for advanced pharmacy practice experiences [APPEs]) being determined by the Director for Experiential Education.
The Coordinator works extensively with internal offices and departments as well as with multiple affiliate institutions (e.g., community pharmacies, hospitals, long-term care facilities).
Principal Responsibilities:
Provides general operational and administrative support for all aspects of the experiential program
Creates and administers systems and structures to manage information flow between and among the Director of Experiential Education, other experiential coordinators, division chair, other members of the administration team, faculty, volunteer/adjunct faculty preceptors, secretaries, site coordinators, and other department staff members at the College and practice sites
Assists end-users in the use of experiential education program systems
Operates and maintains the experiential education database and other software programs, including internal databases and web-based programs
Identifies areas of process improvement and makes recommendations regarding system customization based on changing department and program needs
Reviews student health forms to ensure that all requirements have been met
Ensures that all students have completed prescribed HIPAA training modules
Ensures that all students meet citizenship or legal alien status requirements outlined by affiliated institutions
Acts as liaison with vendors providing support to the educational program – such as those who supply HIPAA training and program management
Identifies and addresses computer technology needs (e.g., database development/ maintenance)
Serves as liaison between/among faculty, staff, and students in matters involving experiential education
Ensures efficient and timely communication with experiential education faculty and preceptors in matters of mutual importance
Participates in teaching as appropriate to (potential) faculty appointment and areas of expertise
Provides advisement to students as appropriate to level of education and training
May provide committee service (College, Campus, and/or University)
May participate in professional affairs activities of local, state, and/or national pharmacy organizations
Performs other duties as assigned by the Director of Experiential Education
Education Requirements:
Bachelor’s degree required. Master’s degree preferred.
Training, Skills, Knowledge, Experience:
Administrative experience and knowledge of general pharmacy education concepts are strongly desired.
Exceptional interpersonal, organizational, communication (both written and verbal) and critical thinking skills.
Possess the ability to organize, prioritize, multi-task and delegate as appropriate
- Be highly proficient with computers, particularly with MS Office (all products including Word, Excel, Power Point and Outlook) and utilize various applications, including running reports, spreadsheets and mail merges.
Familiarity with E-value software and other database experience with exposure a plus • Consistently carry out tasks in a highly organized manner. • Participate as a highly motivated team player. Working Conditions: Normal job functions performed within a standard office environment.
