The Program Coordinator is responsible for assisting the Program Director in completing the daily functions within the Financial Management Program. This individual will ensure that all Financial Management policies and procedures and Social Security regulations and guidelines are followed during day-to-day Financial Management Program operations.
Essential Duties and Responsibilities
- Work with Financial Management staff to ensure all documents received (invoices, bills, leases, Residency Agreements, etc.) are completed according to Financial Management Policy & Procedure and Social Security Administration Regulations and Guidelines.
- Prepares and process all scheduled bill payments for consumers whom MHA is the Representative payee.
- Process consumer’s related deposits to proper bank account according to set schedule.
- Maintain consumer records and process all payment invoices in Fund-EZ software.
- Manage consumer accounts; including void checks, reissue lost/returned checks, investigate payments not received, close inactive accounts.
- Complete Trial Balance for every check batch processed to ensure sufficient funds present in consumer accounts prior to releasing checks.
- Maintain updated record of individual entitlements according to policy.
- Follow-up with consumers and service providers on a regular basis regarding ongoing entitlement issues including overdue and outstanding documentation and any other issues affecting ongoing entitlements.
- Keep abreast of and follow current Social Security, OTDA regulations and new developments in the field and communicate the same to management.
- Develop and maintain a good working rapport with all consumers, staff and stakeholders to ensure services are provided to meet the needs of all enrolled.
- Maintain accurate billing enrollment and assist Program Director with completing monthly/quarterly billing of program fees.
- Attend informational trainings and seminars to remain current on trends and entitlements system changes.
- Assist program staff in daily management of incoming calls, emails and incoming mail.
- Accepts and follows through on other duties as assigned.

Minimum Qualifications - Education and Experience
- Bachelor’s degree in accounting, business administration, healthcare administration or related field.
- Three (3) plus years of experience working within the human services field.
- Knowledge of Supplemental Security Income (SSI, Social Security Disability Insurance (SSDI), Public Assistance, DSS, SNAP, Medicaid, Managed Care Plans, application processes and regulations
Minimum Qualifications - Other
- Valid NYS Driver’s License
- Microsoft Office Suite/Microsoft 365; Excel, Word, Outlook, Access
- Demonstrated experience in effective professional communication, organization and multitasking.
- Must be able to handle simultaneous challenging situations in a high stress environment.
- Must have flexibility, personal integrity and the ability to work effectively with consumers, personnel and support agencies.
