Koala is currently searching for a Credentialing & Staffing Coordinator to lead the matchmaking and coordination of our therapists with our clients. You will be responsible for ensuring every child has coverage with a therapist as well as maintain all licensing records for each therapist. The tasks collectively contribute to the smooth functioning of the administrative and operational aspects of the behavioral therapy agency. Each responsibility plays a crucial role in supporting therapists, analysts, and clients while maintaining compliance with regulatory standards and organizational protocols.
Main Job Tasks and Responsibilities:
1. Documentation Management:
· Uploading and updating required documentation for Registered Behavior Technicians (RBTs) and Analysts using appropriate software or systems.
· Stay updated on industry standards and changes in credentialing requirments.
2. Expiration Monitoring:
· Monitoring the expiration dates of documentation and certifications for RBTs and Analysts. Proactively contacting them to remind them about upcoming expirations.
3. Communication:
· Facilitating communication between analysts, RBTs, and clients' caregivers regarding changes in staff or clients. Providing necessary demographic information to relevant parties.
4. Vacation Coverage:
· Monitoring RBTs' and Analysts' vacation schedules to arrange coverage for client cases during their absence.
5. Credentialing for Insurance:
· Handling the credentialing process for private insurance, ensuring that therapists and analysts are appropriately credentialed to provide services.
6. HIPAA Compliance:
· Ensuring compliance with HIPAA (Health Insurance Portability and Accountability Act) standards to protect the privacy and security of clients' health information.
7. Scanning and Quality Control:
· Assisting with scanning documentation and maintaining quality control over clients' charts to ensure accuracy and completeness.
8. Process Improvement
· Assist in the development and implementation of credentialing policies and procedures
9. Assisting Receptionist Support:
· Assisting with receptionist duties when the receptionist is absent, ensuring continuity of front desk operations.
10. Ad-Hoc Support:
· Provide support during audits
Requirements:
· Bilingual – English and Spanish
· Strong communication skills, both written and verbal
· Associates Degree preferred
· Proficient in using computer systems and software applications for data management
· Excellent attention to detail and organizational skills
· Ability to prioritize tasks and meet deadlines in a fast-paced environment
· Industry or credentialing knowledge preferred
· Ability to maintain confidentiality of sensitive information
· Ability to work onsite Monday through Friday
Job Type: Full-time
Pay: $19.00 - $20.00 per hour
