Administrative Assistants are responsible for the support of the school operation in accordance with the principles established in the charter document and the vision of the Board of Directors. Therefore, loyalty to the school and its mission is essential. Administrative Assistants will be professional in appearance, demeanor, and relationships. Administrative Assistants are accountable to the Principal, and support the school in the areas of 1) Reception, 2) Student Records & Enrollment, and 3) Special Projects.
Responsibilities:
Reception:
- Manage school messenger school communication
- Answer the main school line and direct calls
· Greet and direct students, families, and guests of the school
- Answer questions regarding school events and procedures
· Provide secure check-in/out of visitors and students
· Maintain front office in an orderly manner
· Disseminate incoming and coordinate outgoing mail
· Type, copy, fax documents
Student Records & Enrollment:
- Record and forward attendance information through Infinite Campus
- Maintain accurate daily reporting of student attendance
- Enter and maintain schedules in Infinite Campus
- Manage and problem solve IC gradebook issues; assist teachers with IC gradebook
- Maintain student records and process records requests
- Pick up and distribute school mail
Special Projects:
- Place and check in supply orders
- Assist teachers in daily tasks
- Work and assist with parent volunteer coordinators
- Complete administrative projects as needed
Minimum Job Requirements:
- High School Diploma or equivalent
- The ability to speak and write English clearly and effectively
- Basic knowledge of office machines
- Basic knowledge of Microsoft Office software
Preferred Qualifications:
- Bilingual in Spanish and English
- Prior experience with Infinite Campus and school-related records
- Advanced office machine knowledge
- Advanced Microsoft Office knowledge

- Handling school fees or fundraising money
- Record all deposits in safe on spreadsheet format

- Daily decisions regarding phone/guest referral
- Responsible for maintaining confidentiality regarding all students and staff
