As an Office Administrator at GMI Capital Partners, you will play a vital role in ensuring the efficient operation of our office environment. You will serve as the primary point of contact, providing a warm welcome to clients and visitors while efficiently managing inquiries. Your responsibilities will encompass various administrative tasks aimed at supporting executive staff and maintaining office functionality.
Key Responsibilities:
The role demands exceptional organizational skills, attention to detail, discretion, and the ability to handle a wide range of tasks efficiently. The Executive Administrative Assistant plays a crucial role in facilitating smooth business operations, managing executive calendars, coordinating meetings, handling confidential information, and representing the executives professionally to internal and external stakeholders.
- Calendar Management: Proactively manage and organize the daily schedules and appointments of senior executives. Prioritize and schedule meetings, conferences, and travel arrangements to ensure efficient use of time.
- Meeting Coordination: Arrange, prepare materials for, and coordinate executive-level meetings, including board meetings, management team meetings, and other strategic gatherings. Provide logistical support for meetings, such as reserving meeting rooms, arranging catering, and setting up necessary technology.
- Communication and Correspondence: Draft and edit emails, letters, memos, and other official documents on behalf of the executives. Handle incoming calls and correspondence, addressing inquiries or redirecting them to the appropriate parties.
- Information Management: Manage sensitive and confidential information, ensuring its security and proper handling. Maintain and organize electronic and physical files, ensuring easy accessibility for the executives.
- Travel Arrangements: Plan and coordinate travel arrangements for executives, including booking flights, accommodation, transportation, and preparing itineraries.
- Office Administration: Handle administrative tasks, including office supply management, expense reporting, invoice processing, and coordinating the maintenance of office equipment.
- Project Support: Assist executives in various projects by conducting research, preparing reports, and gathering necessary data.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors. Represent the executives professionally and with tact.
- Supporting the Managing partner on EA capacity
- Event Coordination: Assist in organizing company events, conferences, and executive retreats, managing logistics, guest invitations, and other event-related tasks.
- Special Projects: Support special projects and initiatives assigned by the executives, contributing to the successful execution of strategic plans.
Minimum Requirements:
- High school diploma/equivalent or Associate's degree.
- Preferred 2+ years of administrative experience.
- Strong organizational skills, proficiency in Google Workspace/Microsoft Office, and excellent communication abilities are essential for success in this role.
