Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to join our team. The Office Manager will be responsible for overseeing the day-to-day administrative operations of our office, ensuring efficiency and productivity. This role requires excellent organizational skills, strong communication abilities, and the ability to work well in a fast-paced environment.
Schedule:
- 8 Hour shift 9:00 am - 5:30 pm
- Monday to Friday
- Some Saturdays required during busy season
- Remote Work (Once A Week after Probation Period)
Responsibilities:
- Manage and coordinate administrative tasks, including filing, record keeping, and data entry
- Oversee office supplies inventory and place orders as needed
- Handle incoming calls and emails, providing excellent phone etiquette and customer service
- Assist with training and development of new office staff members
- Manage vendor relationships and negotiate contracts as necessary
- Manage and process all business expenses, services, and bills on a monthly basis
- Perform basic bookkeeping tasks using QuickBooks or similar software
- Prepare tax forms and send completed tax returns to clients
- Maintain organized filing systems for both physical and electronic documents
- Assist with human resources functions such as processing payroll, employee benefits, managing employee records, and etc
- Supervise and provide guidance to administrative staff members
- Coordinate with IT Department on all office equipment
Qualifications:
- Proven experience in an administrative or office management role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with QuickBooks or similar accounting software is preferred
- Ability to handle confidential information with discretion
- Demonstrated ability to manage a team effectively
