Job Title: Executive Assistant, Education Agency Practice
Salary Range: Starting from $55,000, depending on experience

Project Evident is seeking an Executive Administrative Assistant to join our Education Agency Practice (EAP). We are looking for an exceptional new teammate who is truly excited about the role and our work with state and local education leaders to use data and evidence to continuously improve operational, financial, policy, and programmatic decisions in the pursuit of better student outcomes.
You will play an important role in our team as we expand our work rapidly this year. Project Evident, in general, and EAP specifically is in an exciting phase of growth work and, more importantly, in a position to make a meaningful difference for education leaders and the families and students they serve.
ABOUT THE ROLE
In this role, you will provide administrative and operational support to the Managing Director/Chief Impact Officer and members of the EAP leadership team. This role will include calendar management, scheduling requests, and preparation and logistics related to travel and meetings. You will also be responsible for supporting workshop and conference planning. To effectively support the Managing Director/ Chief Impact Officer, this role will interact with clients to support scheduling and appropriate follow-up. You will be embedded and play a key role in the day-to-day operations of the Education Agency Practice team.
You will be both collaborative and able to work independently with a demonstrated ability to navigate ambiguity and use sound judgment in decision-making. To be successful in this role, you should have a keen attention to detail, strong project management, excellent customer service, and the ability to prioritize time and tasks in a fast-paced work environment where priorities can change quickly.
You will report to the Managing Director/Chief Impact Officer, Bi Vuong, and work closely with the EAP team.
Below is a full list of responsibilities you can expect in this role:

Conducting appropriate follow-up internally and externally on behalf of the Managing Director

Serve as "control center" for the Managing Director time and focus including calendar management, scheduling, and ensuring time is well-managed by prioritizing meeting requests based on stated objectives, current needs, etc

Coordinate travel, including trip itineraries, flights, rental cars, hotel and restaurant reservations for the Managing Director, EAP leadership team or other team members for program convenings and client engagements

Monitor the Managing Director’s inbox, tracking meeting requests, and communicating on how to prioritize and respond

Track and submit time entries and monthly expense and credit card reports

Supporting workshop and conference plannings by handling core travel and event logistics, including managing vendor contracts and making relevant arrangements

Provide development support, including managing Salesforce, for the EAP

Provide progress monitoring support for all EAP projects, including maintaining a core project list, tracking contract dates, and generating reports on project progress and team utilization

Other duties, including special projects, as assigned

Here's what we’re looking for in an Executive Assistant:

3+ years as an executive assistant supporting c-suite executive(s) in a fast-moving, digital environment.

Excellent oral and written communication skills, with impeccable attention to detail and high standards for accuracy.

Demonstrated ability to prioritize and operate within a fast-paced and changing environment.

Ease and ability to work with multiple digital platforms, including calendaring platforms.

Demonstrated ability to work both independently and collaboratively in a fast paced environment on multiple projects; ability to effectively prioritize time and tasks.

Demonstrated experience with events and project management.

Experience using common cloud-based productivity platforms and CRM tools, e.g. Google Docs, Office 365, Zoom, Microsoft Teams, Salesforce, and Slack.

Must be located in or within a commute of New York City, NY - this will be a hybrid role working closely with the Managing Director/Chief Impact Officer
